About the Role
As NinjaOne's HR and Office Administrator, you're the friendly face and first impression of our Sydney office. This is someone who genuinely enjoys connecting with people and making everyone feel welcome, whether that's a colleague, a visitor, or a delivery person.
You'll be hands-on across day-to-day office and HR admin, supporting the local leadership and HR team with everything from onboarding to office events and vendor coordination. The role also includes a payroll compliance component - supporting Australian statutory lodgements and keeping the business across legislative updates, so some existing knowledge of AU payroll obligations is a big plus.

Location and Schedule – Part time, 3 days in the Sydney office on Monday, Wednesday, and Friday, 22.5 hours per week from 8:30 am – 5:00 pm (including 1 hour lunch break) with ability to cover company office events.
What You’ll be Doing
- Serve as the go-to person for all office operations; overseeing facilities, maintenance, repairs, and day-to-day needs to keep the workplace running smoothly.
- Track, order, and replenish office supplies, snacks, and beverages regularly, ensuring the team always has what they need.
- Own the new starter onboarding experience, coordinating logistics, a warm welcome and verifying payroll-related documentation such as TFN declarations and Superannuation choice forms.
- Plan and coordinate office events including catered lunches, team celebrations, quarterly engagement activities, and off-site conferences.
- Manage correspondence, deliveries, travel arrangements, meeting scheduling, and logistics support for visitors and the wider team.
- Handle the financial administration of office operations; processing expense reports, invoices, purchasing, and inventory management to ensure accuracy and timely payments.
- Build and maintain relationships with external vendors across cleaning, catering, security, and building services, holding them to a consistently high standard.
- Partner with HR and leadership to keep office policies up to date, coordinate safety and First Aid training, and contribute to a positive and well-functioning workplace.
- Assist with Australian statutory lodgements including Payroll Tax registrations, Workers' Compensation declarations, and state-based filings, and coordinate with government bodies as required.
- Monitor and flag Australian payroll legislation updates, ATO notices, and compliance changes to the Payroll Manager in a timely manner.
- Other duties as needed.
About You
- 1+ Years of experience as an Office Manager, Front Office Manager or Administrative Assistant preferred but not mandatory.
- Existing knowledge of Australian payroll legislation and statutory lodgements is highly desirable; including state-based lodgements, payroll tax (quarterly), workers' compensation declarations, TFN, and superannuation requirements
- Strong interpersonal skills, with the ability to work with a variety of people and teams
- Excellent time management skills with the ability to multi-task, prioritize work and manage projects
- Attention to detail and problem-solving skills
- Solutions focused with the ability to gather and present multiple options as solutions to the executive team
- Enhanced organisational and planning skills with the ability to operate in a fast paced, ever evolving environment
- Polished written and verbal communication skills
- A creative mind with the ability to suggest improvements
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) as well as Zoom, Canva, SharePoint, Dropbox, Slack, etc.
