Description
1. Building management:
a) Coordinates the maintenance and daily administration of the building, as well as the infrastructure elements
b) Ensuring a safe, clean and efficient working environment for employees and visitors
2. Sorts and distributes correspondence (envelopes, emails and faxes) and registers them in the entry-exit register
3. Supervision:
- Supervises the cleaning team to ensure the completion of tasks on time
- It also organizes the monitoring of the team's work schedule.
4. Planning and optimization:
- Development and implementation of strategies to improve the use of space and resources.
- Monitoring the general state of the building and managing preventive maintenance activities.
5. Ensuring compliance with local regulations and standards regarding health and safety at work. Organizing periodic inspections and taking the necessary corrective measures.
6. Coordination with Suppliers:
- Management of contracts with external suppliers for maintenance services such as maintenance, repairs and security.
- Negotiating the contractual terms and evaluating the suppliers' performance.
7. Space and equipment management:
- It optimizes the use of space in the building.
- Management of office equipment and furniture.
8. Incident Management:
Investigating and solving problems related to facilities in a prompt and efficient way. Ensuring the continuity of activities in case of emergency situations.
9. It is the guarantor of compliance with the regulations regarding health, safety and the environment.
10. Budget and financial control:
a) Prepares and manages the budget for maintenance and repairs.
b) Look for solutions to optimize operational costs.
c) Implement solutions to reduce energy consumption.
d) Monitoring the budget for building maintenance and identifying opportunities to reduce costs
11. Keeps the confidentiality of the data to which it has access
12. He constantly improves the quality of his professional and specialized training
13. Develops professionally and responds to the company's requests regarding the knowledge and use of new areas of interest
14. Carries out any other provisions on a professional level, established by the hierarchical boss;
15. Works closely with other departments; providing administrative support, as needed, to all colleagues, maintaining calendars, performing checks and creating reports;
Additional responsibilities:
1. Responsible for Health and Safety for RO. Keeps track of all documents being singed by all employees. Coordinates the regular health and safety meetings. It has the specific responsibility of making sure that the meetings are held as requested by the law, and that the OHS form are up to date and signed by all Ness Romania employees.
2. Covering couriers for RO
3. Ensure the continuous operation, safety, and cleanliness of all office areas, including server rooms, meeting spaces, and open-plan zones.
4. Coordinate with vendors and contractors for office repairs, cleaning services, pest control, and routine maintenance.
5. Plan, execute, and manage office moves, layout changes, and expansions, minimizing disruption to business operations
6 Responsible for booking conference rooms for various projects and organizing protocol meals at restaurants when required during official visits, while providing administrative support to managers.
7. It is in charge with all the facilities contracts for Romania, from negoatiations to putting the contract together, reviewing it , making sure that the contract is signed and making sure that the contract evidence is up to date.
