Summary:

The Administrative Assistant will provide a high level of professional administrative support to one or more academic leaders in the Provost's Office through detailed communications, management of schedule and travel, expense reporting, planning and coordination of projects, and other tasks as assigned. The Administrative Assistant must effectively work with internal and external customers with a high level of care, precision, and confidentiality. 

Essential Functions:

  • Perform advanced, varied, and confidential administrative duties. This includes, but is not limited to, calendar and correspondence management, preparation and processing of purchase card (p-card) and expense reports, event planning, and project coordination.
  • Create and edit university documents and presentations.
  • Lead the preparation and implementation of events; make arrangements for official visits and meeting of University stakeholders.
  • Reasonable and consistent attendance to fulfill requirements of the position.

Knowledge, Skills, and Abilities:
  • Advanced computer skills with MS Office including Work, PowerPoint, Excel, Outlook, SharePoint, and Visio.
  • Exceptional interpersonal skills; flexibility; initiative and self-direction with a high level of energy and enthusiasm.
  • Outstanding customer service and oral and written communication skills.
  • Integrity, sound judgment, maturity of presentation.
  • Excellent project management skills.
  • Demonstrated ability to improve processes and keep thorough documentation.
  • Ability to work effectively in varied professional, socio-economic and cultural contexts.
  • Ability to attend to details and decision-making under high-pressure situations.
  • Willingness and ability to accept frequent direction from various leaders within the university.

Education and Experience:
  • Bachelor's degree required.
  • Minimum of three (3) years of experience required.
  • Experience working and interacting with administrative leadership required.
  • Experience in higher education preferred.
  • Experience working in a technology-driven enterprise preferred.
  • All skills, abilities, and education will be considered for minimum qualifications.

Working Conditions:
This position operates in a remote, home office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
