The role at a glance:
NBBJ is seeking a motivated and forward-thinking part-time Archivist & Coordinator to join our team. In this multi-faceted role, you will be responsible for maintaining the preservation, organization, and accessibility of digital and physical assets. As Coordinator, you will manage NBBJ’s library collection of design reference materials, manuals, and online subscriptions, and support NBBJ’s firmwide Continuing Education program. Based in the Seattle office, this firmwide role will work closely with departments and project teams in 12 offices in the US, UK, and China.

The Archivist & Coordinator will be part of NBBJ’s Studio N, a firmwide studio that is built with thought leaders and experts from across the firm, brought together as an interdisciplinary team to support innovative and sustainable design. This is an exciting opportunity for a professional who is passionate about customer service, continuous learning, and has strong attention to detail.

In your new role, you will:
Archives Management:

  • Maintain an organized and efficient system for storing and retrieving physical and electronic records, including documents, files, and data.
  • Liaise with Legal Team and Finance teams regarding policy and budget.
  • Provide training and support to staff on archiving best practices, policies, and tools.
  • Respond to requests for records and information promptly and accurately.

Library Management:

  • Maintain and update firmwide library collection including books, periodicals, study guides, and technical manuals in both physical and digital formats in alignment with annual budgets.
  • Maintain the physical library in the Seattle office.
Business Systems coordination: 
  •  Work with stakeholder groups to support Continuing Education course credentialling and accreditation for attendees. Provide additional business support as needed.

What you will need to succeed:

  • 3+ years of work experience as an administrative professional; experience in libraries, archiving, preservation, or related areas preferred
  • Proficiency in MS Office Suite; experience with network or cloud storage a plus
  • Master’s degree in Library Science (MLIS), Archival Studies, Information Science, or a related field, a plus but not required
  • Demonstrated experience running administrative programs or projects
  • Experience with design process and architectural drawings and documents preferred
  • Strong technical aptitude and willingness to learn new technologies.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.
  • Be a self-starter who can work with minimal direction.
  • Strong sense of accountability, taking ownership over projects and responsibilities and resolving issues proactively.
  • Ability to work collaboratively in a team environment, fostering a culture of innovation and continuous improvement.
  • Ability to work creatively and effectively, both independently with minimal oversight and in collaborative teams.
  • Exceptional written and verbal communication skills.
  • Work effectively across multi-disciplinary teams
  • Ability to lift 30 pounds; use a step stool
The hourly rate for this part-time role is anticipated to be between $25.00 and $34.00 for Seattle at 32 hours per week. Actual compensation for successful candidates will be carefully determined based on a number of factors, including their skills, qualifications and experience.

This part time role is benefits eligible. The actual part-time schedule will be mutually determined upon hire
