The role at a glance:
The NBBJ Seattle office has a unique opportunity for a highly capable Human Resources professional to join our team as a HR Coordinator. This is a tremendous opportunity for an individual to gain foundational human resources experience and embark on an exciting and rewarding career path. The ideal candidate is positive, highly organized, detail-oriented, and eager to learn. This role requires adaptability and the ability to pivot as expectations and projects shift. This position also requires someone inquisitive and proactive in supporting the team, finding creative solutions, and willing to support all areas of HR.
In your new role, you will:
- Supports the overall HR team with various daily tasks and projects, including but not limited to benefits, compliance reporting, onboarding, data entry, payroll auditing, and employee file maintenance.
- Responsible for maintaining and monitoring HR inbox and answering general employee questions about benefits, policies, and procedures.
- Supports and maintains HR System Records, filing, I-9 & E-Verify record keeping, invoice and receipt reconciliation for HR expenses, and other general administrative duties.
- Support firm wide recruiting efforts - editing job descriptions, posting jobs, and reference checks, assist in scheduling interviews, drafting offer letters, and updating candidate information in the ATS.
- In collaboration with HR team, assist with the university outreach and summer internship programs.
- Coordinates new hire onboarding for all NBBJ employees, including entry into ATS, HRIS (Deltek), background checks, and employment verifications.
- Responsible for maintaining and updating the HR SharePoint site, employee handbook, policies, and intranet.
- Assists team with annual reports such as EEO, Vets-4212, OHSA, etc; COBRA notices & Worker's Compensation
- Other duties as assigned.
What you will need to succeed:
- Associate’s or Bachelor’s degree in human resources or a related field is preferred, or equivalent years of experience.
- Experience in Professional Services, A&E industry, or start-up experience preferred.
- 2-4 years’ experience working in HR.
- Superb written and verbal communication skills – this role calls for proactive communication within the firm and external vendors.
- Must be tenacious, persistent, and able to set deadlines and prioritize multiple ongoing projects.
- Working knowledge of Microsoft Suite Outlook and other database management; experience in HRIS, ATS systems preferred.
- Must take initiative and follow through with short- and long-term assignments.
- Must be flexible, reliable, willing, and able to take on new tasks and learn new things.
- Able to exhibit a high level of confidentiality.
