Administrative Assistant
Description

As our Administrative Assistant, you'll be treated as an extension of leadership, with the opportunity to grow into new projects and responsibilities as you master the role, including working directly with our AI tools to help build smarter, more efficient systems as we scale.
This is a full-time, on-site role based in Center Valley, PA, supporting our Accounting Department and day-to-day office operations. If you're dependable, proactive, and energized by a fast-paced, dynamic environment where initiative is rewarded, we'd love to hear from you!
Day to day, you can expect to:
- Receive, distribute, and enter incoming invoices into the accounting/project system
- Perform credit card reconciliation
- Process weekly time clock updates for payroll
- Set up and maintain new vendor accounts
- Track and maintain project registrations in our project management software, including submitting permits through approval and issuance
- Enter and maintain project data, keeping all project files current
- Maintain tool inventory records; coordinate insurance audits and keep policies current
- Track vehicle registrations and manage related records
- Support company culture initiatives, including client appreciation efforts and monitoring online reviews
- Coordinate employee appreciation gifts, birthdays, and company swag ordering/distribution
- Manage office supply inventory and ordering
- Attend meetings as needed, take notes, and provide status updates on open projects
- Perform other clerical duties as required
- Use AI tools to help automate repetitive administrative and operational tasks
What you need to thrive in this role
- Prior administrative, bookkeeping, or office support experience preferred
- Strong organizational skills with high attention to detail
- Comfortable managing multiple priorities and deadlines across departments
- Proficiency with Microsoft Office/Excel; experience with construction project management software (such as BuilderTrend) a plus, but not required
- Clear written and verbal communication skills
- A self-starter who is comfortable working independently and taking ownership of tasks
- Positive, team-oriented attitude
- Comfortable using technology and open to using AI tools to improve efficiency; no prior AI experience necessary
