What is the role?  

We are currently seeking an Operations Executive to support our operations team in developing and adopting operational excellence within the EMEA network, specifically in the UK.  

As an Operations Executive, you will be responsible for maintaining and continuously improving processes for key EMEA and UK clients such as easyJet, Karo, SCJ, CBRE, Bridgestone, Discovery+, Aon, Virgin Money, Govia Thameslink, Smart Energy, National Express, TalkTalk, Britvic and News UK. You will maximize ways of working and efficiencies in time and resources while supporting the development of clear training guides.  

In addition, you will support the maintenance of key digital platforms, including planning, reporting, finance, and more, to improve data structure and accuracy and incorporate automation of repetitive tasks. As a key member of the operations team, you will work with stakeholders to understand operational challenges and develop potential solutions to improve ways of working.  

This role offers a fantastic opportunity for a highly organized, detail-oriented, process-driven candidate with a desire to learn everything about media and make positive change both inside and outside the organization. With thorough onboarding, support, and guidance provided by the existing operations team members, learning will be a huge part of this role.

Where is the role based?  

   

  • Hybrid role, 2-3 days per week in The Charlotte Building (17 Gresse Street, London) 

What does the Operations team do?  

The operations team is a core service within the agency, that provides effective solutions designed to drive efficiencies in the way we work.  Bringing the best processes, tools and systems to allow us to go Further Faster for our people and clients.   

What will be your responsibilities?  

Learning and discovery   

  • Immerse yourself and become familiar with the ways of working and outputs of a media agency
  • Leverage key training resources to quickly feel comfortable talking about key agency processes and platforms

Ways of working and process   

  • Support the operations team to act as a consultant to analyse existing ways of working + processes across the agency and highlight where we can make changes to create efficiencies 
  • Develop internal process documentation and training guides to share and present to different departments and teams within client’s bespoke centre of excellence
  • Monitor process compliance and gather continuous feedback from teams

Automation Tools   

  • Support in the planning and roll-out of client custom platform integrations and/or onboarding, including but not limited to media planning tools (Lumina, MAP, etc.), project management software (Wrike) or reporting dashboards (Looker, Power BI, etc.). 
  • Platform management and maintenance (configuration, back-end data structure, user management, QA and monitoring, coordinating changes across teams, etc.)
  • Become the Operations Tools Champion – owning the functionality, benefits, and set-up detail of automation tools
  • Discover new platforms, tools, and systems to increase automation of repetitive tasks
  • Learn data analysis, formula, and configuration skills to enable automation of data when media platforms are not in place (Google Sheets formulas)

Team support   

  • Leverage your organisation and attention to detail skills to support the growing infrastructure and day to day operations of the team. Including maintaining key status documentation, timeline management + visibility sharing and building a coherent structure of key documentation for ease of navigation.

Who are you?  

  • You have practical experience with process documentation, training and improvement
  • You have practical experience with automation of tasks
  • You have experience with handling large volumes of data, reporting, data transfer and/or dashboards
  • You are an advanced user with Excel and Google Sheets
  • You have practical experience working with multiple stakeholders
  • You are passionate and can demonstrate knowledge about ‘media’ and ‘technology’
  • You have good organisational and attention to detail skills
  • You are analytical and enjoy problem solving
  • You have a pro-active, solution focused outlook
  • You are keen to learn and are not afraid to ask questions
  • You are a good listener and collaborator
  • You are a people person; you enjoy building relationships and understanding team challenges
  • You are highly self-motivated and able to work autonomously
