Mitsubishi Motors North America is looking for an experienced Legal Administrative Assistant to join the Legal team.  As the Legal Administrative Assistant, you will play a key role within Mitsubishi’s small, collaborative, business-oriented, and impactful Legal team.

What you’ll be doing:

  • Provide proactive support to Mitsubishi’s General Counsel and in-house Legal team on a variety of legal matters.
  • Manage and track a high volume of contracts from initial request to execution, including maintaining databases and summary reports.
  • Prepare, edit/red-line and transmit contracts, presentations, reports, correspondence, proposals, lien releases, agendas, spreadsheets, and other documents with guidance from counsel.
  • Assist with the opening of litigation files, establish contracting and other non-litigation files, and maintain filing and tracking systems.
  • Assist with litigation preparation, document collection and production, preservation of records, responses to subpoenas, and investigations.
  • Assist the General Counsel and Board of Directors with meeting notices, meeting agendas, general communications, and accessing meeting materials and other documents in SharePoint.
  • Perform notary public duties.
  • Gather data, produce and distribute monthly reports for internal and external clients.
  • Maintain efficient operation of the Legal department by performing general administrative duties, including coordinating meeting calendars, conference calls, mailings, expense reports, litigation calendars, deadlines, and travel arrangements, and arranging technical and other support.
  • Manage external counsel and expense billing and accruals.
  • Communicate via telephone, e-mail, and other correspondence with clients and third parties, providing assistance or directing them to the appropriate department to resolve questions or problems; act as a representative of the Legal team with internal and external parties.
  • Maintain confidentiality of proprietary materials and privileged information; protect the privacy and security of clients, customers and co-workers.
  • May perform other duties as assigned.

What you’ll have:

  • Associate’s degree in business, office management, communication, or other field related to position, or equivalent experience. Bachelor’s degree strongly preferred.
  • 5+ years’ experience supporting executive and management level professionals; previous experience supporting legal professionals preferred.
  • Ability to assist attorneys with a high degree of professionalism, initiative, accuracy, discretion, and confidentiality; superior attention to detail and accuracy of work.
  • Working knowledge of general office procedures; ability to organize and coordinate group work efforts; proficiency in Microsoft Office Suite and SharePoint; strong verbal, written, and interpersonal communication skills; ability to communicate and interact with attorneys and company executives and management; independently solve problems and make decisions.
  • Experience working for an auto manufacturer, auto supplier, or law firm supporting same preferred.
  • Notary public preferred.
  • This position requires some schedule flexibility and the ability to work overtime if necessary.
  • Must be willing to pitch in where and when needed.
  • A sense of humor is also required.
