Regional Administrator

 Mitsubishi Motors North America is looking for a Regional Administrator to support our Southeast regional office. As the Regional Administrator, you will provide administrative support to the Region Director and staff.  You will also monitor and coordinate Region operations and facility issues with corporate office. 

 What you’ll be doing:

  • Coordinate Region/department budget activities such as compiling, submitting,  maintaining and reconciling the budget via Access and SharePoint/DocuSign.
  • Answer and route telephone calls, distribute mail and faxes, update and maintain Director’s electronic calendar, maintain paper and electronic files.
  • Coordinate meetings, conference calls, travel arrangements, and Region special events.
  • Prepare, maintain, and distribute department reports.
  • Act as the department communication focal point to coordinate and disseminate information such as policies, department goals, deadlines, project status, etc.
  • Prepare correspondence, memos, and forms such as Purchase Requisitions, Payment Requests, Employee Action Notices, Travel Authorizations, etc. and track status.
  • Manage submission and coordinate check requests through SAP.
  • Manage ADP transactions for region (ex. time off submissions, process timesheets for regional employees).
  • Act as HR liaison and representative for new hire orientations, transfers, terminations, resignations, retirees and performance management of employees.
  • Interpret and communicate company policies to employees.
  • Responsible for office equipment maintenance and office supply inventory.
  • Coordinate and track department VIP and Merit/Lump Sum Award activities.
  • Coordinate, with Region functional Managers, the activities of Region support staff.
  • Coordinate Backout Requests, Duplicate MSO and Monroney label process with field managers and dealers.
  • Manage the city, county and state licensing for the operations of the region’s business.
  • Ensure field managers are licensed in assigned states.
  • Manage the handling of company license plates and driver registrations for the states within the regions.
  • Manage relationship with property management company to adhere to building policies, place service calls, coordinate rent payments, employee access badges & keys, general maintenance, etc.
  • Create and manage electronic content to region’s dealers (ex: manager’s updates, announcements, virtual meetings).
  • Assist in managing metrics for region employees.
  • May perform other tasks and projects as assigned.

 What you’ll bring:

  • 5 years prior experience as an Executive/Administrative Assistant or equivalent position.
  • Advanced ability to control multiple projects including experience performing logging, documenting, prioritizing, tracking, follow-up, and follow-through on projects.
  • Advanced oral/written/interpersonal skills.
  • Moderate knowledge of MMNA standard or equivalent PC software.
  • Typing at 50 wpm.
  • College degree or equivalent certification.
  • Prior experience with Accounts Payable/Receivable and/or coordinating a department budget.
  • Experience working with Zoom or Teams.
  • Advanced PC software skills including Word, Excel, Access, and PowerPoint.
  • Previous work experience at an automotive wholesaler. is a plus
  • Knowledge of ADP, SAP and Smartsheet is a plus.
  • Qualify as a Notary Public
