Position Overview: 
The Department of Subways is seeking a highly capable and results-oriented Principal Administrative Associate to support the Chief Safety Officer and the Subways Safety Unit. This position offers a unique opportunity to contribute to the strategic oversight of safety operations across the largest transit system in North America. 
The successful candidate will be a self-directed professional who demonstrates exceptional organizational acumen, sound judgment, and a high degree of discretion. This role requires a proactive approach to executive support, cross-functional coordination, and data-informed decision-making. The Principal Administrative Associate will play a critical role in ensuring the seamless execution of safety initiatives, executive correspondence, and operational reporting.
Reporting to the Chief Safety Officer, the selected candidate will provide crucial analytical support, translating quantitative and qualitative data into clear, actionable insights. The responsibilities will include, but are not limited to gathering, interpreting, analyzing and evaluating performance data, developing recommendations, and summarizing key findings. Preparing weekly and monthly performance reports utilizing various key performance indicators (KPIs) and creating presentations and analysis with charts and graphs. Building and maintaining SharePoint, Power BI Apps, dashboards and various forms. Have strong analytical skills and interpersonal skills to effectively collaborate with senior management, staff, and MTA affiliates. Additionally, the candidate will contribute to special projects and various requests as needed.
 
Responsibilities: 
  • Provide high-level administrative and operational support to the Chief Safety Officer and the Subways Safety Unit.
  • Track and manage executive-level correspondence and safety-related communications, ensuring timely responses and resolution by coordinating with senior leaders and their teams.
  • Maintain and update departmental databases, dashboards, and tracking systems with precision and consistency.
  • Perform data entry and data integrity functions to support safety performance monitoring and compliance reporting.
  • Utilize business intelligence tools such as Power BI, Tableau, and Excel to generate reports, visualize trends, and support data-informed decision-making.
  • Prepare executive-level correspondence, briefings, and presentation materials for internal and external stakeholders.
  • Coordinate the processing of authorizations, invoices, and administrative documentation in accordance with agency protocols.
  • Organize and manage digital and physical records to ensure accessibility, accuracy, and compliance with retention policies.
  • Collaborate with internal departments and external partners to support the implementation of safety initiatives and operational goals.
  • Exercise discretion and maintain confidentiality in handling sensitive information and high-level communications.
  • Operate independently to deliver consistent, high-quality outcomes aligned with the strategic priorities of the Subways Safety Unit.
Qualifications:
  • A baccalaureate degree from an accredited college and two years of satisfactory full‐time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and three years of satisfactory full‐time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in ʺ1ʺ above; or
  • A four‐year high school diploma or its educational equivalent approved by a state’s department of education or a recognized accrediting organization and four years of satisfactory full‐time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in ʺ1ʺ above;
  • Education and/or experience equivalent to ʺ1ʺ, ʺ2ʺ, or ʺ3ʺ above. However, all candidates must possess the one year of administrative or supervisory experience as described in ʺ1ʺ above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in ʺ1ʺ above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.
