RESPONSIBILITIES:
Reporting to the Management of Maintenance, the incumbent is responsible for all administrative matters relating to the Maintenance Department. The successful candidate will perform a variety of administrative support that requires proficiency in use of Microsoft Office, accurate record keeping and excellent communication skills. The position is responsible for preparing and maintaining correspondence, records and files; compiling and tabulating statistics and data; preparing and inputting the Unified Timekeeping System and payroll Functions. prepare requisitions for purchase orders and monthly procurement card activity. In addition, the position assists department management in preparing agendas, conducting research, organizing and reporting information, and preparing reports. serves as liaison between department management. reports on the status of projects and delegated tasks. Performs other related duties, as assigned by Maintenance of way management. 

Responsibilities may include but are not limited to:
  • Assists department management in preparing agendas, conducting research, organizing and reporting information, and preparing reports.    
  • Responsible for preparing/entering requisitions for purchase orders, direct charge reports and monthly procurement card activity.
  • Serves as liaison between department management and the various SIR divisions, departments, regularly reporting on the status of projects and delegated tasks and attending to administrative matters.
  • Assists Managers/Supervisors during senior level meetings, including, but not limited to recording, preparing and distributing meeting minutes.
  • Prepares and safeguards confidential correspondence. Incumbent will be required to fill out a confidentiality agreement.
  • Maintains electronic database and physical files of the departments.
  • Keeps department heads informed of meeting schedules and report deadlines. Inform the department heads of actual or potential scheduling conflicts.
  • It is intended that the successful candidate show competence in payroll and UTS (Unified Timekeeping System) functions. Incumbents will be required to enter and/or audit payroll/labor sheets and other functions related to Maintenance division employees.
  •  Performs other related duties, as assigned.
  • Serves as liaison between department management and the various SIR divisions.
 
EDUCATION AND EXPERIENCE:
  • Possess a high school diploma or equivalent. 
  • Special or relevant training in the field of public sector administration is preferred.
  • A minimum of three years of progressively responsible administrative experience.
  • Proficiency in the use of Microsoft software applications, including Word, Excel, Access, Outlook, and PowerPoint.
  • Proficiency in the use of the Internet for research and procurement.
  • Demonstrate working knowledge of SIR’s operations, including its organizational structure, managerial areas of responsibility, and location of SIR stations, buildings and major structures.
  • Ability to prepare accurate written records and reports.
  • Ability to perform detail-oriented work with frequent interruptions.
  • Ability to meet deadlines and to focus with attention to detail in fast paced environment.
  • Ability to use sound judgment, initiative and resourcefulness when dealing with other employees and the public.
  • Ability to work effectively under stress, in a fast-paced environment, in emergencies and adapt to changes in work priorities.
Eligibility:
  • Candidates must have a High School diploma or /GED certification. Special training in the field of public sector administration is preferred.

  • Possess the ability to apply and comply with Staten Island Railway Safety Policies.

SELECTION METHOD
 
Based on evaluation of education, skills, experience, and interview and a possible assessment.
All selected candidates will be subject to a full background investigation that includes employment and education. Discrepancies may lead to dismissal. All appointments will be made on the SIR payroll.
