OVERVIEW OF DEPARTMENT:
Our department serves as LIRR’s central administrative hub, overseeing the corporate administrative management to strengthen and support the continued growth and operational excellence throughout the agency. The LIRR Administration Team will ensure the consistent implementation and application of departmental and agency policies and procedures, as well as drive performance by formalizing and institutionalizing organizational best practices.
 
RESPONSIBILITIES:
 
The intern will support the ongoing preservation and accessibility of the Long Island Rail Road’s historical records by digitizing, organizing, and cataloging legacy materials into a centralized digital tracking system.
  • Scan, upload, and label historical press releases, newspaper clippings, photographs, and agency communications related to significant LIRR milestones and leadership initiatives.
  • Create and maintain an Excel or SharePoint-based tracking system to index all digitized materials by type, year, topic, and source for easy retrieval and reference.
  • Perform data-logging and general data entry tasks in Excel and other software applications to support the maintenance of archival databases and project tracking systems.
  • Assist in record retention and document storage of agency historical data by organizing physical and digital files in accordance with established archival procedures.
  • Updating logs and maintaining internal filing systems.
  • Conduct basic historical investigation and artifact cataloging to verify the origin, content, and relevance of materials prior to digitization and inclusion in the archive.
  • Contribute to project documentation and reporting by compiling summaries, status updates, and data reports that help monitor digitization progress and archival completeness.
  • Perform other related duties and special projects as assigned by management to meet program objectives.
 
PROJECTS:
 
The preservation of LIRR Historical data is one of our major objectives to be able to showcase and preserve historical documents to ensure preservation for future viewing and to assist in creating a space for centralization.
  •  Archival Digitization & Historical Records Preservation Project.
  • Data Analysis & Report Generation.
  • Workflow Analysis & Process Improvement
REQUIRED QUALIFICATIONS:
  • Proficiency in Microsoft Office Suite is a must.
  • The candidate should possess organizational, analytical and communication skills. 
  • The candidate should be able to work well under pressure and prioritize tasks effectively.
  • The candidate should have a keen eye for detail and be able to work independently while being an active team player.
 
REQUIRED EDUCATION:
  • Matriculated in a graduate program in good standing with at least 2.8 GPA
  • Major(s) Preferred: Business Administration, or related field.
