This position is eligible for teleworking, which is currently one day per week. New hires are eligible to apply 30 days after their effective hire date.

Position Objective:

The Coordinator of Training Support & Administration will play an integral role in communicating with managers to identify training needs and mapping out development plans for teams and individuals. The coordinator will be responsible for coordinating and supporting all Compliance training programs and administering activities, and processing transactions within the PeopleSoft Enterprise Learning Management (ELM) application.

The selected candidate will also be responsible for coaching key agency team members on the agency-wide utilized database platform (ELM) and will guide process area procedures.

Responsibilities:

  • Assist with designing, preparing, and ordering educational aids and materials as directed by management.
  • Assist with designing and developing training programs, both within the agency and/or if outsourcing is deemed necessary.
  • Assist with marketing available training to employees and provide necessary information about sessions.
  • Enter transactions into the PeopleSoft database platform and track service requests.
  • Maintain documents coming through ‘the Retrieve’, in order to review and index scanned documents and forms. 
  • Run reports to manage, monitor, and provide KPIs as requested by various departments.
  • Provide satisfactory customer service by receiving, analyzing, researching, and seeking a resolution to assigned inquiries.
  • Integrate (across agency teams) to document, research, and resolve baseline system issues and possible errors.
  • Monitor assignment quality and service delivery as outlined within the Service Level agreement.
  • Maintain tracking information and send notice to staff when they are due for training or other documents required for state compliance.
  • Keep up with state and federal laws and ensure compliance training is being scheduled and executed.
  • Other duties as assigned.

 

Required Knowledge/Skills/Abilities:

 

  • Demonstrates strong organizational skills; possesses specific work experience for HR in employee records, data updates, entry, and maintenance.
  • Ability to handle sensitive situations and maintain a high degree of confidentiality.
  • Demonstrated ability to work in a high-profile, high-pressure environment effectively.
  • Must have attention to detail.
  • Proficiency in and/or ability to learn to work with all internal levels within a given organization.
  • Strong interpersonal skills with the ability to work with and collaborate across the BSC at all levels within and outside the organization.

 

Required Education and Experience:

 

  • Bachelor’s degree in public administration, Human Resources, or a related field, or an equivalent combination of education and experience may be considered in lieu of a degree; and
  • Minimum of one (1) year of related experience with Shared Services experience.
  • Working knowledge and use of PeopleSoft or related database software.
  • Proficiency in and/or ability to learn communication, organizational, presentation, and interpersonal skills.
  • Proficiency in and/or ability to learn to work with all internal levels within a given organization.
  • Proficiency in and/or ability to learn analytical and/or quantitative skills.
  • Demonstrated proficiency in using Microsoft Word, Excel, Teams, and PowerPoint, with the ability to learn PeopleSoft Enterprise Learning Management System and MS Office 365 Products (Forms).

 

The Following is/are preferred:

  • Familiarity with performance metrics and ability to meet identified targets.
  • Working knowledge of service request management tools.
  • Familiarity with the MTA’s policies and procedures.

 

Other Information

May need to work outside of normal work hours (i.e., evenings and weekends)

Travel may be required to other MTA locations or other external sites.
