POSITON SUMMARY:

The position provides analytical and administrative support for capital projects in the Division of Facilities, including tracking project goals and performance metrics, monitoring budgets, coordinating key administrative processes, and supporting contract and procurement activities. The role also works with stakeholders to streamline procedures across Facilities teams.

 

RESPONSIBILITIES:

Facilities Management is seeking a candidate to provide complex analytical and administrative support for all capital projects in the Division of Facilities. This includes but not limited to the following:

  • Assist in the development, implementation, and tracking of projects and goals, and maintaining information systems (PSR and other internal systems), and key performance indicators.
  • Assess and monitor budget vs. actual expenses for capital projects, manage capital job numbers, and prepare journal entries to correct mischarging.
  • Coordinate between Facilities, Capital Programs, and C&D to manage administrative functions such as coordinating and completing Force Account Estimates, preparing and tracking D-4s to retain or request new capital positions, submitting ATAs and WAR requests, managing and monitoring WAR approvals, and identifying and coordinating OBIs.
  • Oversee contract development, submitting requisitions, processing change orders on POs when necessary, track expenses and invoice processing.
  • Meet with key stakeholders to evaluate existing administrative processes and develop consistent streamlined internal processes supporting capital projects across all Facilities teams.
  • Other tasks as assigned.

 

EDUCATION AND EXPERIENCE:

  1. The candidate must have a bachelor’s degree (master’s preferred) with a major in business, architecture or engineering, accounting, finance, public administration or public policy, city or urban planning, transportation, or a related field; and
  2. A total of six years of professional experience; and three years of managerial, supervisory, or administrative experience.

 

 

DESIRED SKILLS:

  • Strong analytical and quantitative skills.
  • Excellent written and oral communication skills, including the ability to communicate with personnel at all levels of the organization.
  • Project management.
  • Process improvement/six sigma.
  • Ability to work and deliver under demanding timelines.
  • Proficiency in MS Excel, Access, PowerPoint, Visio and other data visualization tools (Microsoft Power BI/Tableau).

Based on evaluation of education, skills, experience, interview, and written assessment.

Final salary is determined experience, skillset, and alignment with compensation practices. The posted range reflects expected compensation and may be updated as market or business needs evolve.
