Telework:
This position is eligible for telework which is currently one day per week. New hires are eligible to apply 30 days after their effective date of hire.

Job Summary:

The Coordinator – Leadership Support will provide high-level project coordination and administrative support to the Environmental, Health, and Safety (EHS) leadership team, including the Senior Vice President of EHS, Vice President of Environmental Compliance, Vice President of Health and Safety, and the Chief Operating Officer. This position plays a key role in helping the leadership team advance departmental goals and ensure the smooth execution of initiatives, communications, and day-to-day operations. The incumbent will utilize their technical knowledge to efficiently manage and assist with EHS project management activities, facilitating technology resource needs, preparing reports for executives, conducting research, and coordinating correspondences. The incumbent will also assist the EHS leadership team with key project management initiatives, such as creating databases that track employee compliance with various policies and procedures, support injury reporting/incident management, overseeing hazardous materials/SDS documentation, tracking corrective action and inspection finding closure, setting agendas, and more. Additionally, the incumbent will support departmental projects, coordinate logistics and scheduling, assist with policy and procedure tracking, and serve as a liaison between internal staff and external stakeholders. The individual in this role must exercise sound judgment, maintain confidentiality, and demonstrate excellent organizational and communication skills. Key Responsibilities (include but are not limited to): Provide project coordination support to EHS leadership, including maintaining project trackers, timelines, and follow-up documentation. Coordinate internal and external communications, including correspondence, reports, intranet page design, and meeting materials. Manage executive scheduling, meeting planning, travel arrangements, and expense reimbursements. Track and help maintain records related to departmental initiatives such as telework program compliance, employee attendance, training status, and onboarding progress. Assist with onboarding new staff, updating organizational charts, and monitoring resource requests (e.g., technology needs). Coordinate preparation of presentation decks, summary reports, and research findings for internal leadership meetings and external briefings. Monitor and support procedural compliance efforts (e.g., attendance tracking, time-off requests, policy acknowledgment logs). Provide support for special projects, conduct research, and produce presentations and reports for the EHS Leadership Team. Maintain confidentiality while managing correspondence and initiatives on behalf of senior leadership.

Responsibilities:

Provide Business Support to top Executives and other managers:

Provide information and research as needed on EHS or administrative policies and processes.

Participate in periodic meetings to help document key follow-ups and action items

Monitor and maintain EHS databases (i.e. injury management, chemicals, etc.)

Support the EHS team, when needed and assist the Back-Office customer service efforts through the handling of various support inquiries (budget, procurement, HR, finance, legal, etc.)

Perform assigned special projects to support the agency's needs such as conducting research, compiling data, prepare documents for consideration and presentation by executives and committees.

Support EHS database/software application projects

Assist with change management, space planning, staff resources, on-boarding, etc.

Oversee workflows to ensure proper records management, and other duties as assigned

Ensure policies and procedures are met for travel and training requirements:

Review and process travel reimbursements

Review and process membership requests

Ensures pending matters are resolved effectively and timely; organizes and expedites flow of work for approvals

Assist with onboarding new hires, collating interview packages, and setting up interviews.

Assist with monitoring training compliance

Assist with monitoring performance review process milestones

Assist with tracking compliance for various policies and procedures including, but not limited to remote work policies, emergency preparedness/business continuity, etc.

Independently prepares reports, memos, letters, statements, and other documents using advanced word processing, spreadsheets, databases, or presentation software containing decisions that have an impact on established precedents, and which may commit the Authority or the supervisor to a course of action.

Ensure that EHS staff have supplies and other resources to get their work    done on time.

Responsible for the organization, coordination, and schedule planning for various Executives:

Provide high-level executive support and administrative coordination to the Senior Vice President EHS as well as the broader program team leads. Schedule and coordinate executive meetings involving TBTA, MTAHQ executives, and various local, state, and federal agencies.

Manage and maintain complex calendar appointments and prioritize schedules to ensure that managers' time is focused on critical tasks.

Assist with organizing meetings and logistics as necessary.

Resolve calendar conflicts and timely inform groups of changes to the schedule.

Request agendas and/or meeting materials in advance of meetings.

Performs other duties as assigned

Complies with all policies and standards

May be required to work hours outside regular work hours, as applicable

Observes the work performed by contractors, as applicable

Reviews invoices and approves them if the work has contractual standards, as applicable

Addresses performance issues with the contractors when possible, as applicable

Escalates issues to other parties when needed, as applicable


Qualifications:

Bachelor’s Degree in Arts/Sciences (BA/BS) in Public Administration, Business, Environmental Studies, Health & Safety, Communications, or a related discipline.

An equivalent combination of education and experience may be considered in lieu of a degree.

Minimum 5 years’ professional administrative experience in project coordination, executive support, or administrative role.

Must have experience using Microsoft Office Suite (i.e., Word, Excel, Access, Visio, PowerPoint, and Outlook).

Experience coordinating projects or supporting leadership teams.

Must have experience with calendar management for conference rooms and shared spaces, zoom rooms (video conference), meeting scheduling, and maintenance of company calendar via Outlook and/or MS Teams.

Demonstrated proficiency in PeopleSoft, Oracle, Power BI, or similar applications, and TEAMS, ZOOM, or similar virtual platforms.

Ability to acquire complex data and apply statistical and/or other analytic methodology; develop dashboards, performance metrics, output measures to help effectively manage key business processes.

Familiarity with project tracking systems or enterprise tools.

Ability to track, maintain, and summarize data using spreadsheets or databases, and report information.

Ability to handle confidential information with discretion.

Strong organizational, communication, and time management skills.

Knowledge of organizational culture and structure.

Demonstrated ability to work in a high-profile, high-pressure environment effectively.

Demonstrated ability to communicate and interact well with the external city, state, and federal agencies.

Demonstrated ability to build relationships and work collaboratively with stakeholders at all internal levels within the organization.

Must possess excellent quantitative and project management skills to review business processes effectively, evaluate weaknesses, conduct quality assurance, and risk assessments, and coordinate actions to strengthen control mechanisms.

Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, production methods, and coordination of people and resources.

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms, and other office procedures and terminology.

Must know about office management and human resources administration.

Preferred

Ability to anticipate office needs and proactively address them.

Understanding of MTA administrative processes and PeopleSoft.

Experience within a large organization or public agency.

Familiarity with environmental, health, and safety (EHS) operations or terminology.
