The Awards Management Team

The Awards Management Team (AMT) works in lockstep with Prosper Global’ country teams to ensure they have the resources, tools, and information they need to succeed in the implementation of high-quality programs across three areas by:

  • Stewarding award management from kick-off to close out, supporting adherence to donor requirements, aligning donor contractual deliverables with internal program quality and compliance standards to deliver program impact, resolving compliance issues, and promoting knowledge management;
  • Contributing to strategic new business development by identifying new funding opportunities, supporting high-quality program design, and leading submission efforts aligned with donor requirements; and
  • Serving as liaison between Prosper Global' program teams and their most critical relationships with internal and external stakeholders

The Position

The Awards Management Team Senior Assistant provides advanced administrative, logistical, and knowledge management support to the Awards Management Team, including Awards Management Team Lead, AMT Manager and AMT Program Officers (POs). The Senior Assistant plays a key role in maintaining organized workflows, managing programmatic information and data, directing information flows, and liaising with other Global and Regional departments.

Essential Responsibilities

Awards Management Support:

  • Maintain organized workflow of program/department activities through tracking and record-keeping: track donor requirements, reporting deadlines, and reminders.
  • Upon request, assist AMT POs with reviewing, editing, assembling, formatting, and ensuring timely submission of donor reports and other deliverables.
  • Participate in and maintain records/notes of check-in calls with teams.
  • As needed, prepare and communicate new award initiation summaries and support close-out processes.
  • Support donor portal reporting and content uploading.

Proposal Support:

  • Track and identify upcoming proposal opportunities, searching databases for new opportunities and summarizing them for country and regional teams
  • Upon request, provide administrative support for proposal development, such as drafting standard annexes (e.g., Past Performance Reports, capacity statements), copy-editing, formatting, obtaining signatures, and final compilation/submission.

Administrative Support:

  • Provide advanced project and team planning support, including assisting with Awards Management Team meeting administration (agendas, notes).
  • Support finalizing agreements by coordinating signatures.

All other duties as assigned by supervisor.

  • Reports Directly To: Awards Management Team Lead, AMEE
  • Works Directly With: Regional Program teams, Country Directors and in-country Programs and Awards/Grants Management teams, Donor Compliance, International Finance, Institutional Donor Engagement, Philanthropic Growth & Engagement

Minimum Qualification & Transferable Skills

  • Excellent written and verbal communication skills, with the ability to synthesize complex information clearly and concisely for various audiences.
  • Must be a detail-oriented, multi-tasker who is able to communicate clearly and work under pressure.
  • Must demonstrate patience and flexibility and take initiative to solve problems.
  • Proven ability to build and maintain strong, collaborative working relationships with diverse internal teams and external stakeholders across different cultures and time zones.
  • Strong organizational skills with the ability to manage multiple priorities, track deadlines, and ensure timely completion of tasks for self and direct reports.
  • A robust sense of humor is greatly appreciated.
  • A demonstrable passion for, and a clear empathy with, the organization's aims and values.

Required Education and Experience

  • Bachelor’s degree in International Development or related field, OR equivalent combination of education and 3+ years of administrative support experience.
  • Demonstrated experience providing high-quality administrative, coordination, or program support to large and diverse teams, preferably at a distance.
  • Proficiency with MS Office software (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
  • Prior NGO or international development experience preferred.
  • Fluency in written and spoken English required. Proficiency in another regionally relevant language is preferred.

Living Conditions / Environmental Conditions

This position may require up to 10% travel to support country programs, which may include travel to insecure locations where freedom of movement is limited and areas where amenities are limited. Prosper Global Team members represent the agency both during and outside of work hours when deployed in a field posting or on a visit/short term assignment to a field posting.  Staff are expected to conduct themselves in a professional manner and respect local laws, customs and Prosper Global's policies, procedures, and values at all times and in all in-country venues.
