Proposed work schedule; 5 days a week, 8 hour shifts 8a-4:30p. alternating every other weekend coverage

We are looking for: Scheduling Coordinator
 
This role provides a high level of client service. In this role, the individual enhances communication and provides support between referring veterinarians, clients, veterinarians, and all team members of the department.
 
What you’ll do:  
  • Answer and respond to all phone calls from clients, Referral Partners and Pharmacies, log all conversations, as well as check and log voicemails  
  • Answer incoming calls as back up to the switchboard coordinator  
  • Call for referral information on new/recheck patient appointments  
  • Coordinate with clinical team and update departmental schedule calendar  
  • Check for incoming referral faxes at the front desk and/or communication center  
  • Organize records in hard charts for next day specialty appointments  
  • Check appointment emails throughout the day  
  • Email any electronic records/x-rays to perspective department and all x-rays to radiology  
  • Fax referral letters (depending on location)  
  • Make copies if needed: Client handouts, cage sheet change forms  
  • Call clients to remind of appointments & drop-offs for the next day  
  • Monitor supplies needed for the department, as well as clean and stock areas as needed
