What you will be doing as an Office Manager at MedSpeed:
- Holds and ensures the confidentiality of all company business and material handled by the Executive and Senior Leadership Team.
- Provides support with departmental project needs.
- Serves as the main point of contact for specific office vendors and is responsible for related vendor document management.
- Effectively anticipates and coordinates administrative needs, including proactive reminders, for the assigned executives.
- Schedules meetings, appointments, and conference calls promptly.
- Assists administratively with event coordination for senior management meetings, public events, employee engagement activities such as open forums, conferences, training sessions, networking, and social events.
- Arranges all aspects of travel arranging flights, hotels, rental car, and car service; manage travel profiles and obtain necessary approvals.
- Assisting with expense management.
- Screens incoming calls, and in-person visitors, answers inquiries, and responds to requests for information independently.
- Supports and encourages others to support the mission, core, values, and goals of the company.
- Performs additional duties as assigned.
What you will need as an Office Manager at MedSpeed:
- Bachelor’s Degree or equivalent work experience preferred
- 4-5 years Office Manager or equivalent role experience
- Experience dealing with highly confidential matters.
- Superior written and verbal communication skills; comfortable interacting with staff at all levels and representing the ideas or position of the executive team clearly and diplomatically when needed.
- Able to organize, multi-task, and prioritize in alignment with goals in a fast-moving environment.
- Meticulous attention to detail as well as exceptional organization/time management skills.
- Must be an enthusiastic, positive team player willing to help and works well with colleagues.
- Proactive and dedicated; must have a strong sense of ownership and accountability for all job functions.
- Collaborative spirit; enjoys being part of a team. Enjoys facilitating the work of a senior leader and derives satisfaction from helping a team run successfully.
- Has demonstrated skill in problem-solving; enjoys a challenge; achieves satisfaction from working things out, getting things done; demonstrates curiosity—the ability to work independently.
- Idea generator who can think creatively with practical accomplishment in mind.
- Extremely proficient with Microsoft Office Suite or similar software and able to learn new or updated software.
