About the Role

Our Global L&D, People Projects Coordinator supports the team in the growth and transformation of our people across the MediaCom network, to drive People First, Better results for our business and our clients.

 

 

Your main focus will be supporting the day-to-day running of the Global L&D Team with first-class administrative support. A typical day could include managing our Global L&D inbox, uploading and editing content in our Learning Management System (LMS), analysing and reporting on LMS usage data, liaising with one of our many key stakeholders, survey building or a spot of proofreading!

 

We have a busy agenda and we have a number of transformational people projects on our roadmap, which means you’ll also get involved in supporting on a number projects - coordinating diaries and working across a number of cross functional teams/stakeholders and external training partners, allowing you to get involved in the project coordination (from tracking of timelines/deliverables to helping to produce content and communications).

To be successful in this role, you will need the perfect blend of first-class administrator experience and strong project coordination skills. You keep the team running! So must be a natural multitasker. You are efficient, organized, and comfortable managing several tasks at pace. You bring a keen attention to detail to your work and think one step ahead of the teams’ needs. You are a fluent technology user, including Excel, Word, Outlook and PowerPoint, who is ready and willing to expand your toolbox to include SharePoint, eLearning authoring tools (Articulate), our LMS and more.

 

This role provides the experience to develop and progress your career (with growth opportunities both upwards and sideways) in the L&D world, whether that’s in Instructional Design, Digital learning design or facilitating training.

 

Responsibilities and accountability:

 

L&D team support:

  • Global L&D projects; coordinate projects, record key actions, responsibilities and deadlines, scheduling key milestone dates, track progress and follow-up to ensure delivery
  • Liaise with project teams, regional people team, and where relevant, local leads in many of our key local markets to schedule meetings, manage requests, or share information and updates about projects to ensure the necessary steps are being taken to move the project forward.
  • Manage the content in our Learning Hub (LMS); audit and edit existing content, push training to key audiences, upload fresh content and retire outdated content
  • Analyse and report on data from the Learning Hub; running regular reports on learning completion, site usage, ratings and reviews, and providing insights and recommendations where applicable
  • Oversee the Global L&D Inbox; responding to emails directly and / or escalating to the relevant team / person, tracking query types and reporting on query topic trends
  • Monitor attendance on training programmes; track and report on nominations, attendance and uptake, gather and summarise feedback and actions
  • CRM Management: support team on the setting up, producing, copy writing and sending newsletters and templates in MediaCom’s CRM system.
  • Support team on the end-to-end project from creating business cases to retro’s, lessons learned.

 

L&D Administration, reporting and research:

  • Copy editing, proofread and/or support design of learning content, comms, SharePoint articles
  • Liaise with our L&D suppliers and training partners, oversee new supplier admin, process invoices in timely manner, upload to budget tracker & answer queries
  • Conduct external research into L&D best practice and HR/People solutions that could improve learning and development practices at MediaCom. Including best-in-class training partners and key trends (microlearning, gamification, social learning, etc.)
  • Provide admin support to the team such as assisting in the scheduling of meetings, workshops and webinars, booking rooms, collating agendas and creating presentation decks

 

People Projects Coordination:

  • The role will have an initial focus on supporting our global Mental Health Allies program, with a view to getting involved with more of our transformational People Projects across MediaCom.
  • Work collaboratively with cross functional teams/stakeholders to schedule meetings, manage requests, share project updates
  • Drive consistency of approach across projects; using efficient and effective tools and documents, including setting up Planner (Kanban) boards, producing timing plans, diary management, creation of project documentation or presentations and communication of key information.
  • Create and maintain project plans, KPIs, reports, and dashboards that provide the project team and project sponsors with well-informed insights.
  • Community Management for our L&D, Mental Health Allies (and Wellbeing) communities: responsible for managing monthly calls, agreeing the agenda with the core project team and creating, collating, and editing presentations before, during and after the call.

 

Skills and experience

  • Proven success in supporting teams to deliver results on complex work/projects involving multiple stakeholders, includes ability to multi-task, prioritize and coordinate.
  • Proven digital native with curiosity to explore, leverage and optimize existing and new tools for supporting teams and project management as well as for communication.
  • Proven track record of building strong relations with our internal and external stakeholders
  • Demonstrable experience of problem solving and creative thinking
  • SharePoint, Articulate 360, Microsoft CRM experience an advantage.
  • Preferable (not essential) experience in L&D and qualifications.
  • Preferable (not essential) global client-centric organisation experience
  • Advanced PPT, Word, EXCEL required
  • Comfortable using and working with data to drive solutions and improvements.
