Position Overview
The Marketing & Sales Coordinator is responsible for supporting the planning, coordination, and execution of marketing and sales initiatives. This role plays a key part in keeping projects organized, materials moving, and teams aligned.
This individual will work closely with the Senior Manager of Marketing & Engagement and the Sales Training Manager to support day-to-day operations, including logistics, communications, training coordination, and material distribution.
This is an ideal role for someone who is highly organized, detail-oriented, and eager to learn in a fast-paced, high-growth environment. Success in this role comes from reliability, strong follow-through, and the ability to manage multiple moving pieces at once.
This is a remote role with occasional travel to marketing and sales-led initiatives, including conferences.
Key Responsibility Areas
Marketing Coordination & Support
- Assist in the coordination and tracking of marketing materials from development through final delivery
- Support internal workflows, timelines, and project organization across marketing initiatives
- Coordinate with internal teams and external partners (e.g., agencies, vendors) to ensure deliverables stay on track
- Assist with submission, tracking, and organization of materials through internal review processes (e.g., Promotional Review Committee)
- Maintain organized files, templates, and repositories of materials for appropriate recordkeeping
Conferences & Clinician Events
- Coordinate conference logistics and support planning efforts from pre-conference preparation through post-conference follow-up
- Assist with conference prospectus review, attendance tracking, and registration coordination
- Support payment processing, confirmations, hotel coordination, and travel-related logistics
- Manage shipment and organization of booth materials, marketing resources, and event supplies
- Assist with clinician engagement logistics, including dinner reservations, meeting coordination, and scheduling support
- Support conference expectation calls and post-conference follow-up activities with field team
- Coordinate with external partners and vendors, to support event execution and communication
- Help maintain organized conference calendars, trackers, and planning documents
Sales Training & Internal Meeting Support
- Coordinate logistics for new hire onboarding, internal meetings, and sales training sessions
- Assist with presentation coordination, including communication with presenters, slide collection, formatting, and agenda support
- Organize training materials, handouts, attendance tracking, and follow-up communications
- Support scheduling, meeting coordination, catering, materials, and attendee communications
- Help maintain organized repositories of training materials and meeting resources
- Assist with onboarding coordination to ensure new hires have the tools, materials, and information needed for training readiness
- Support post-training and post-meeting follow-up activities, including resource distribution and action item tracking
- Help ensure internal meetings, trainings, and onboarding activities run smoothly and stay organized
Sales Support & Field Coordination
- Support field teams by coordinating the distribution of marketing materials and resources
- Help respond to field requests and ensure timely follow-up
- Track feedback from the field and help organize insights for the marketing and training teams
- Assist in preparing materials and communications used by the sales team
Organization & Process Support
- Maintain trackers for projects, materials, and key initiatives
- Help ensure deadlines, details, and deliverables are executed on time.
- Identify opportunities to improve organization and efficiency of day-to-day processes

Preferred Qualifications:
- 1-3 years of experience in marketing, project management, coordination, or administrative support roles, preferably in the pharmaceutical/healthcare space
- Strong organizational and time management skills
- Experience supporting cross-functional teams or managing multiple projects simultaneously
- Strong attention to detail and follow-through
- Proficiency in Microsoft Office (PowerPoint, Excel, Word)
- Strong communication skills
- Bachelor’s degree in marketing, business, communications, or a related field
- Valid driver’s license and acceptable driving record required
Physical Requirements:
- Bi-monthly business travel (on average)
- Must be able to lift up to 25 lbs. frequently
