What you’ll do:
- Plan and manage multiple events at various stages simultaneously
- Research event ideas, venues, and vendors and obtain appropriate documentation and contracts
- Coordinate logistical execution of events (live, hybrid, and virtual), including venue selection, vendor management (including, but not limited to, event planning company, AV, catering, transportation, etc.), and scheduling
- Collaborate with internal team members to define meeting goals, attendees, and required materials
- Work with suppliers, sponsors, performers, and partners to secure resources and maintain high standards
- Manage production schedules and ensure deliverables are met
- Prepare and distribute agendas, presentations, giveaways/swag, and other necessary meeting materials; Ensure appropriate supplies are onsite for all training sessions
- Monitor budgets and reconcile expenses
- Provide on-site or virtual support, including setup, team member/special guest experience, and post-event teardown
- Conduct and report on event performance, team member feedback, and ROI metrics
- Ensure compliance with health, safety, legal, and insurance obligations for all events
- Assist with the preparation, revision and distribution of training materials and toolkits
- Perform administrative duties including data tracking and report compilation
- Assist with the creation of timelines and work plans for each event
- Maintain records and compile summaries of post-session evaluation results
What you bring:
- Minimum of five (5) years’ experience in coordinating, event planning and execution of conventions, conferences, and/or other large scale special events
- Minimum of Five (5) years’ experience managing outside vendors, sourcing, and negotiating contract services
- Proficiency in Microsoft Office
- Effective organizational and time management skills, with a strong ability to manage multiple complex projects and timetables
- Requires a strong attention to detail and problem-solving skills to address issues that arise during event planning and execution
- Able to work well under pressure and adapt to ever-changing scenarios
- Ability to identify client needs and respond creatively, listening to information, asking probing questions, applying knowledge, and determining solutions
- Requires ability to travel by car/plane for prolonged periods of time and to move and transport personal luggage
- This is an onsite role
