What you’ll do
- Provide administrative support for the Mattamy Homes US COO and other executives including calendar management, flight and extensive travel arrangements, event and meeting coordination, presentations, and expense report management.
- Must present a professional image while answering phones, and handling visitors to the office
- Solid experience supporting a senior executive and in keeping the office functioning including ordering, receiving, stocking and distribution of office supplies, coordinating equipment services, and building facilities.
- Assist in the preparation of financial reporting packages and presentations for Board Meetings, employee, and bondholder events
- Prepare ad hoc reports requested by other Departments, Division Leadership, US Corporate and Central Services (Canada Corporate)
- Compose correspondence on behalf of the COO as needed
- Receive, sort or forward incoming mail. Coordinate the pick-up and delivery of express mail services including FedEx, UPS, and USPS
- Other related administrative/clerical duties such as scanning, photocopying, filing, and creating business correspondence
- Perform other related duties as assigned
What you bring
- 10+ years administrative experience required, previous support of a high-level executive preferred
- Active Notary Public certification required.
- Previous experience in managing a busy travel calendar and in setting up and managing meetings and events
- Exceptional computer skills including advanced knowledge and proficiency with Microsoft Office (Outlook, Word, Excel, Visio, and PowerPoint)
- Strong project management skills
- Ability to handle sensitive and confidential information and issues with tact and diplomacy
- Ability to maintain an organized system of tracking, monitoring and prioritizing tasks and projects.
- Must be reliable and able to work independently on assigned tasks as well as to accept direction on given assignments and proactively anticipate needs
- Ability to work well under pressure and meet deadlines
- Able to juggle multiple tasks and priorities, quick-thinker, able to pivot and adjust as needed
- Detail oriented with ability to proof documents for accuracy and communicate detailed changes
- Excellent interpersonal, written, and verbal communication skills
- Maintain a professional, and polished demeanor
- Enthusiastic and friendly, with a demonstrated client-service orientation
- Strong problem-solving orientation and analytical skills
Bonus points
- Bachelor’s degree in Business or other related field preferred
