What you’ll do
- Set up new vendors for land department and work with accounting to ensure compliance
- Assist with the contractor/vendor package
- Prepare and ensure timely execution for all Land Development Master Agreements, Additional Service Requests, Professional Services Master Agreements, Authorization Agreements, Change Orders and other legal documents
- Coordinate bid process and maintain all contract files
- Enter and maintain all contracts in the reporting system
- Process all pay applications, verify contract amounts, obtain required approvals, and submit to A/P
- Verify EBIX Insurance requirements and track and obtain reimbursables from external entities
- Work with Accounts Payable on land vendor statements, lien releases, check hold, or other vendor payment issues
- Coordinate with Land Development Manager for the agreement and change order details (i.e. scope of work, values, schedule, etc.) and create the document for legal review
- Prepare and obtain proper signatures for approval of agreement documents (i.e. bid sheet, agreement, change order, letters to the file, etc.)
- Enter budgets, agreements, and change orders into the system (JDE)
- Update all land development budgets with information provided by Land Development Manager and facilitate monthly budget meeting
- Prepare and process check requests and pay applications
- Update Land Development reports (Lot Analysis, Cash Flow/Percent Complete, Regional Reports, and Surety Tracking) Insure the Land Department meets all Wellen Park policies
What you bring
- High School Diploma or GED equivalent minimum requirement, Assoc’s or Bachelor's degree preferred
- Knowledge or experience in the homebuilding and land development industry
- Demonstrated analytical ability and problem-solving skills
- Extensive knowledge in Excel, Word, PowerPoint, & Outlook
- Excellent organizational and time-management skills with the ability to meet hard deadlines
- Self-motivated with ability to work well on a team
- Ability and willingness to learn and grow professionally
- Excellent project coordination skills in assisting team’s work efforts
- Must have a valid Driver’s License be able to drive to/from sites, offices and more
- Must have strong written and verbal communication skills
Bonus points
- Bachelor’s degree in Engineering, Land Planning, Urban Planning, Construction Management, Business, Finance or related field preferred
