What we offer

The Office Manager / Executive Support (internally known as IT Administrative Manager) will work independently performing a wide range of complex and confidential administrative, financial and departmental duties to support the IT department. This role will support the CIO, VP’s and Directors within the department on varied tasks including budgetary items, vendor management, event coordination, communication for internal and external customers among other activities for the department. This role is critical in keeping the teams aligned and informed of departmental information in a fast paced, fluid environment. This role is 4 days in the office and one day remote with some travel (international) required.

 

What you’ll do

  • Oversee internal department communication plan to keep employees informed about company news, department updates, goals, projects, etc.
  • Collaborate with an internal working group to prioritize department communications, events, and meetings that will engage the whole department
  • Create announcements, presentations, surveys, Microsoft Team room management
  • Design communications and mechanisms to publish IT information to all technology users in the organization (internal marketing efforts)
  • Executive presentations must deliver complex topics in a simple, easy to understand format
  • Seek ways to support all internal IT team members in delivering cohesive messaging 
  • Collaborating with departments to ensure activities are supported and completed to deadlines established
  • Event and calendar management for the department
  • Support project teams with change management, communication and meeting facilitation activities
  • Manage the onboarding new department employees including equipment, introduction training, and support for new team members
  • Coordinate department wide training and role specific training programs
  • Manage department invoices and payables in a timely manner
  • Vendor management – ensuring vendors are onboarded correctly, paperwork completed

What you bring

  • A bachelor’s degree or equivalent experience (4-6 years) business communications.
  • Strong organizational and multi-tasking skills
  • Excellent analytical and problem solving
  • Time Management skills with an emphasis on meeting deadlines
  • Strong Customer Service skills
  • Mastery of Microsoft Office programs such as Excel, PowerPoint, Teams, Word
