Responsibilities

  • Maintains Starts Slotting Tool, Visibility Report, other JDE & monthly cycle time reports
  • Uploads supporting community level documents per project to Hyphen folders at project start (Power layouts, Paving Grading & Drainage Plans, Marketing Site Maps, Phone List, Exterior Color Reference Drawings etc...)
  • Coordinates field staff’s resources: signage, uniforms, SWPP requirements and more
  • Organizes and collects field paperwork to saved shared drive (Pre-Con, Pre-Drywall, NHO)
  • Pays red tag fees and general field support for required closing items & tracks Certificate of Occupancy providing to Closing Department
  • Coordinates GC licensing with local municipality including bonds, insurance certificates, online inspection logins & annual renewal fees
  • Develops and maintains customer service relationships with Permitting Vendors, Builders and Area Construction Managers
  • Manage the permitting process, which includes submitting for all municipality permits for production starts
  • Attends Weekly Starts meeting with VP of Construction to communicate starts for coming weeks
  • Orders, tracks and submits permit applications to include plans, surveys, energy calculations, truss designs and engineering
  • Uploads supporting community level documents per project to Hyphen folders at project start (power layouts, paving grading & drainage plans, marketing site maps, phone list, exterior color reference drawings etc...)
  • Codes any permitting related direct invoices on weekly basis for ACM approval
  • Acts as Build Pro Admin
  • Assist Permit Coordinators & Design team with overseeing and enforcing naming conventions
  • Assist Builders/ACM in obtaining Certificate of Occupancy from municipalities
  • Assist VP of Construction with resources required for teambuilding and monthly training events
  • Cross Train with Operation Coordinators to cover vacation times
  • Acts as E-Compliance Administrator

Qualifications

  • Bachelor’s degree preferred, but not required
  • Two years of office administration experience
  • Pleasant phone manner and ability to manage multiple lines simultaneously
  • Good computer skills in Microsoft Office, particularly Word, Excel, and Outlook
  • Strong organizational skills
  • Proactive “driver” mentality-can’t wait for information to come to them-have to go get it
  • Persuasive personality to work with internal customers and Homeowners
  • Strong communication skills and ability to re-prioritize on a moment’s notice
  • Ability to deal with constant change and manage day to day business
  • Understand scheduling and residential plans
