What you’ll do
- Coordinates new hire setup for USHO staff including office space and supplies/computer equipment needed
- Ensures completion of employee onboarding – handle I-9 and E-Verify documents
- Maintains up-to-date employment and training records (personnel, medical/confidential, I-9, etc.) for filing and records retention
- Completes data entry in Payroll/HRIS system for new hires, compensation changes, manager changes and terminations
- May provide back up, as requested, with payroll processing responsibilities
- Coordinates required training, screenings, and certification completions for all new hires, monitor training to make sure they are completed within the first 30 days of hire date
- Ensures compliance with Federal, State, & local requirements – ensures labor postings are updated and all locations have needed materials
- Conducts periodic/scheduled audits of employee files and data
- Coordinate mass mailings and deliveries to Mattamy US team members as needed
- Maintain breakroom and kitchen area neat and clean and order, stock and distribute office and breakroom supplies, maintain control of inventory, and replace supplies as necessary
- Coordinate equipment service needs and building facilities
- Coordinate team member events including catering lunches, monthly birthday/anniversary celebrations, meetings, volunteer activities and gatherings

What you bring
- High school diploma or GED required
- 1-2 years of office administration experience strongly preferred
- Excellent organizational and communication (verbal and written) skills
- Computer skills including knowledge and proficiency with Microsoft Office (Outlook, Word, Excel, Visio, and PowerPoint)
- Ability to handle sensitive and confidential information and issues with tact and diplomacy
- Proven ability to multi-task; Flexible and able to work in a fast-paced environment of competing demands and changing priorities
- Maintain a professional, and polished demeanor
- Enthusiastic and friendly, with a demonstrated client-service orientation
- Effective communication skills and enjoys interacting with people
- Desire to learn and grow in the Human resources field
Bonus points
- Bachelor’s degree in business or human resources management
- Experience in Human Resources preferred
- Experience with Dayforce, UltiPro (UKG) and/or Saba would be a plus
