Role Overview

We are seeking an Event Operations Manager / Event Project Manager to support a global events team, with a primary focus on sponsorship activations, campaign launches at major industry conferences, and global developer-focused workshop events and digital content series.
This role also functions as a Vendor Program Manager, providing critical support in the planning, execution, and oversight of several large-scale global events. You will play a pivotal role in ensuring these key events are delivered seamlessly and successfully.
In this role, you will:
  • Oversee video production and creative content workflows while supporting content distribution across channels such as blogs, newsletters, and video campaigns.
  • Lead end-to-end production and operations of developer-focused events within your portfolio.
  • Represent the internal developer programs group and manage delegated operational and vendor-related tasks.
  • Serve as the central point of contact for internal teams, agencies, vendors, and stakeholders.
  • Build and manage the infrastructure, tools, and documentation required for smooth event execution.

Core Responsibilities

1. Event and Program Management

  • Partner with internal stakeholders and cross-functional teams to scope events, including brief development, timeline creation, and budget planning.
  • Support comprehensive program management for multiple global events, from initial scoping and planning through execution and post-event analysis.
  • Develop detailed project plans, timelines, and critical path analysis for each event.
  • Lead stakeholder communication throughout the lifecycle of each event: scoping, planning, and execution.
  • Run weekly stakeholder planning meetings and end-of-week recaps,
  • Manage multiple events simultaneously, including virtual, hybrid, and in-person experiences.
  • Lead cross-functional coordination across event production agencies, social media, design, localization, and video teams.
  • Ensure all teams meet milestones and advise on best practices.
  • Manage multiple simultaneous projects from initial engagement through completion.

2. Global Vendor Program Management

  • Act as the central point of contact coordinating and aligning diverse internal teams (content leads, internal events teams, executive stakeholders) and external vendors.
  • Ensure all event components are integrated and delivered on schedule.
  • Proactively identify potential roadblocks, dependencies, and risks related to event execution.
  • Develop and implement mitigation strategies to keep programs on track and within scope.
  • Contribute to the development and refinement of standardized workflows, templates, and best practices for global project management.
  • Help enhance efficiency and scalability for future initiatives.
  • Provide regular updates to executive leadership on event progress, key milestones, and any challenges encountered.
  • Prepare comprehensive post-event reports, including key learnings and recommendations.

3. Operational Infrastructure and Tools

  • Create and manage organizational infrastructure for the project, such as event trackers, session trackers, operational decks, communication aliases, and similar tools.
  • Maintain a central operations hub or equivalent source of truth for cross-functional teams.
  • Lead RSVP and guest management initiatives, delegating to agencies where appropriate.
  • Partner with internal teams to manage statements of work (SOWs), purchase orders (POs), invoices, and scope changes across the project lifecycle.
  • Lead post-event reporting and surveys alongside the broader team.
  • Recommend ways to improve processes and performance across programs.
  • Support in-person event needs as required.

4. Executive and General Program Support

  • Support executive leadership in preparing for high-level meetings, including agenda creation, material organization, and logistical coordination.
  • Ensure all relevant event-related updates are captured and reflected in executive communications.
  • Assist in the development and refinement of presentations, talking points, and other materials for internal audiences, with a focus on event communications and executive updates.
  • Facilitate efficient communication and information flow among team members and stakeholders, ensuring all parties are aware of critical updates and decisions related to global events.

Program-Specific Operational Responsibilities

Key Objectives and Deliverables

  • Lead weekly planning meetings for event teams and partner agencies.
  • Develop and maintain operational decks and documentation, including event preparation materials and speaker onboarding documentation.
  • Manage a centralized operations hub containing information required by cross-functional teams.
  • Ensure graphics, technical needs, and staffing requirements are accurately documented and communicated.
  • Manage registration for internal participants involved in the event experience, including:

    • Marketing and program teams
    • Speakers
    • Workshop leaders
    • Demo staff
    • Office hours staff

  • Draft communication copy and route materials for review and approvals with relevant stakeholders.

  • Anticipate bottlenecks, escalate issues when necessary, and adjust plans to keep work on track.

Required Qualifications

  • Bachelor’s degree.
  • 3–5 years of proven experience in program management or large-scale project management, with a strong emphasis on event management.
  • Demonstrated experience managing complex, multi-faceted projects with multiple stakeholders and dependencies, ideally within a marketing or corporate events context.
  • Experience with managing the content flow process across multiple sources and approval chains
  • Experience developing and executing projects that involve multiple executive stakeholders.
  • Thorough understanding of the lifecycle of an event and event logistics planning.
  • Event production experience across virtual, hybrid, and in-person formats.
  • Experience organizing and managing multiple events simultaneously, ideally at scale.
  • Exceptional written and verbal communication skills, with the ability to craft clear, concise content for diverse audiences including senior executives.
  • Strong organizational and project management skills, including the ability to manage multiple priorities and work under tight deadlines.
  • Meticulous attention to detail and high standards of accuracy.
  • Proficiency in collaborative productivity tools (documents, spreadsheets, presentations) and project management software.
  • Ability to work independently while collaborating effectively across teams in a fast-paced environment.
  • Interest in creating inclusive event experiences and supporting initiatives that broaden participation across diverse audiences.
  • Familiarity with event project management tools and systems.
