We’re looking for superheroes to join our MarvelFlex team. MarvelFlex roles are Independent Contractor opportunities to consult on an ad-hoc, part-time, or short-term basis. The scope, budget, deliverables, and duration of MarvelFlex engagements differ from project to project.

We are seeking an Executive Operations Lead to support a large-scale global event program. This critical role is responsible for orchestrating and optimizing executive engagement and operations throughout the planning and execution of a flagship event. The role includes strategic planning, process development, team management, and cross-functional collaboration to ensure a seamless executive and stakeholder experience from planning through event delivery.

Responsibilities

Strategic Leadership

  • Develop and implement a comprehensive executive operations strategy.
  • Define, document, and refine executive engagement and management processes.
  • Create and secure approval for a Decision/Input/Notification (D/I/N) matrix to clarify roles, responsibilities, and governance.
  • Establish communication strategies for executive audiences, executive support teams, chiefs of staff, and program leadership.

Team Management

  • Oversee a team of executive operations contractors responsible for logistics, scheduling, and executive briefing updates.
  • Provide strategic guidance, daily support, and direction to team members.
  • Ensure high-quality deliverables, operational excellence, and timely completion of all workstreams.
  • Foster collaboration and alignment across stakeholders and partner teams.

Operational Execution

  • Build and manage a timeline of key milestones, including communications and decision checkpoints.
  • Review, quality assure, and drive approvals for executive communications and event-related materials.
  • Develop and oversee communications plans for executive support teams and program leaders.
  • Lead executive operations meetings, planning sessions, and stakeholder briefings.
  • Proactively communicate status updates, risks, and blockers across workstreams and leadership forums.
  • Secure executive approvals through established governance and decision-making channels.
  • Collaborate closely with cross-functional teams responsible for executive engagement, content, customer experiences, media programs, analyst relations, startup initiatives, leadership forums, and other strategic event programs.
  • Define, promote, and execute an onsite executive operations support plan.
  • Manage onsite executive operations activities, including stakeholder walkthroughs, executive communications channels, change management support, wayfinding assistance, and executive seating logistics.
  • Coordinate executive experience planning before and during the event to ensure a seamless attendee experience.
  • Lead and deliver post-event reviews, retrospectives, and recommendations for future improvements.

  • Experience interacting with senior executives and diverse stakeholder groups.
  • Ability to synthesize complex information into clear, concise communications and recommendations.

Project Management

  • Strong project management and organizational skills with the ability to manage multiple workstreams simultaneously.
  • Experience developing timelines, tracking dependencies, and driving accountability across teams.
  • Highly proficient with collaboration and productivity tools, including spreadsheets and workflow management platforms.
  • Experience leveraging automation, scripting, or process optimization tools to improve operational efficiency.

  • Ability to proactively identify risks, remove blockers, and resolve challenges in a fast-paced environment.
  • Demonstrated adaptability, resourcefulness, and sound judgment under pressure.
