Event Producer
Description
We are looking for an Event Producer to join a team that delivers approximately 20 high-impact events annually, including executive roundtables, industry summits, and internal alignment programs. These initiatives require significant operational rigor and strategic planning and are critical to driving senior-level engagement with partners and internal leaders.
While senior partnership managers define the strategic direction of these events (e.g., objectives, agendas, and speaker strategy), they rely on dedicated support to manage logistics, operations, and execution.
Roles & Responsibilities Could Include:
- Pre-planning (establishing event goals, type, dates)
- Scheduling and running monthly- to weekly-check ins ahead of the event
- Determining if 3P resources should be leveraged (creative agency, vendors)
- Securing a venue
- Managing event comms, including invitations, save-the-dates, RSVPs and follow up
- Managing expenses (securing budget, opex)
Key Responsibilities
Program Management
- Lead the planning, development, and execution of strategic programs that support business growth and partner engagement objectives.
- Identify scalable opportunities across key industries and partnership ecosystems.
- Manage timelines, budgets, resources, and stakeholder alignment to ensure programs are delivered efficiently and on schedule.
- Partner with internal teams across business development, marketing, communications, and product to ensure programs meet strategic priorities.
- Develop and maintain project documentation, performance metrics, and post-program evaluations to track impact and identify areas for improvement.
Event Production
- Oversee the logistics and execution of high-profile events, including industry summits, executive roundtables, and internal leadership forums.
- Manage all production elements; venue selection, creative development, vendor management, budgets, staffing, and technical execution.
- Collaborate with internal creative and content teams to design compelling event experiences that reflect organizational objectives and messaging.
- Develop event narratives, agendas, and session flows that align with program goals and drive meaningful engagement.
- Ensure flawless onsite execution, including run-of-show management, speaker preparation, and attendee experience.
Stakeholder Engagement
- Serve as a program partner to senior leadership, ensuring alignment between program and business objectives.
- Build strong relationships with cross-functional teams and external stakeholders to drive collaboration and consensus.
- Communicate program updates, risks, and outcomes clearly and effectively to diverse audiences.
Innovation and Continuous Improvement
- Identify new approaches to elevate event and program impact through data-driven insights, emerging technologies, and industry best practices.
- Champion a culture of operational excellence, creativity, and continuous learning across the team.
Qualifications
- 3-7 years of experience in program management, event production, or strategic operations, ideally within a global or matrixed organization.
- Excellent communicator, written and verbally, and feel comfortable presenting to a broad set of stakeholders both internally and externally.
- Ability to quickly understand and operate within our processes, products and teams to effectively manage events (there may be multiple events happening simultaneously)
- Proven success managing complex, cross-functional programs and large-scale events from inception to completion.
- Exceptional organizational, project management, and communication skills.
- Strong vendor management and budget oversight experience.
- Ability to navigate ambiguity, prioritize effectively, and drive multiple projects simultaneously.
- Strategic thinker with a solutions-focused, collaborative mindset.
- Bachelor’s degree or equivalent practical experience; MBA or similar advanced degree a plus.
