Description

The Sales Coordinator provides critical administrative, operational, and customer support for sales, asphalt, and aggregate operations. This position is responsible for coordinating sales activities, maintaining pricing and bid information, processing invoices and purchase orders, supporting inventory management, and ensuring accurate reporting across multiple business functions. The role serves as a key liaison between sales, operations, accounting, and customers to support efficient business operations and exceptional customer service.

KEY RESPONSIBILITIES
Sales Administration & Customer Support

  • Process sales order exceptions and maintain customer pricing and quotes within company systems.
  • Prepare, update, and distribute customer quotations and pricing information.
  • Track and maintain bid opportunities and proposal activity.
  • Review and validate cash-on-delivery (COD) sales orders prior to billing for accuracy, including materials, freight, taxes, and pricing.
  • Produce and distribute sales invoices and related customer documentation.
  • Coordinate customer communications including price list updates and pricing notifications.
  • Support account setup activities and collaborate with credit personnel regarding customer account management and accounts receivable.
  • Maintain sales tax exemption documentation and ensure compliance with company requirements.
  • Generate and distribute sales reports, shipment reports, quotation reports, and other business analytics.
  • Additional support to cross-functional teams on an as-needed basis.

Collaboration & Communication

  • Partner with sales representatives, operations personnel, logistics teams, accounting, and customers to resolve issues and support business objectives.
  • Respond to customer inquiries and provide timely, professional service.
  • Assist management with special projects, reporting requests, and process improvements.
  • Ensure accuracy, timeliness, and confidentiality in all records and communications.

QUALIFICATIONS
Required

  • High School Diploma or GED required.
  • Minimum of 2 years of experience in sales administration, customer service, operations support, accounting support, or a related field.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Strong organizational and administrative skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail and accuracy.

Preferred

  • Experience within construction materials, aggregates, asphalt, manufacturing, transportation, or related industries.
  • Experience with ERP, inventory management, customer management, or order processing systems.
  • Knowledge of billing, invoicing, accounts receivable, and purchase order processes.
