The Opportunity
We are looking for an accomplished Operations Administrator to join our Operations team as part of our financial services business in Grand Cayman.
The Cayman Islands is home to our global headquarters and where the Maples Group first established operations in the 1960s. As a part of the Cayman team, you will:
- Open, prepare, and organize incoming mail for scanning and distribution, ensuring all contents are handled securely and confidentially.
- Scan and process incoming mail within the digital mailroom system while maintaining accuracy and confidentiality.
- Manage returned and undeliverable mail, including identifying, processing, documenting, and preparing items for return to sender.
- Respond promptly to mail-related inquiries and requests from internal stakeholders.
- Maintain a clean, organized, secure, and efficient mailroom environment at all times.
- Manage digital mailroom operations, including the identification, processing, scanning, and sorting of incoming and outgoing mail.
- Coordinate courier deliveries, pickups, and outgoing shipments to ensure timely and accurate distribution.
- Handle registered mail collection, tracking, and dispatch in accordance with company procedures.
- Maintain adequate mailroom supplies and ensure accurate postage levels on franking equipment at all times.
- Liaise with staff regarding incoming and outgoing mail and provide timely updates where required.
- Assist with internal inquiries and document searches, including CORIS-related requests.
- Sort, distribute, and perform triage of general correspondence, tax documents, statements, and other business materials to the appropriate recipients.
- Ensure scanned documents are stored in the correct digital repositories, following established protocols.
- Respond promptly to requests for assistance with mail-related queries or issues.
- Ad Hoc Administrative Tasks Provide general administrative support as required, which may include filing, data entry, or assisting other departments.
What You Bring
In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following:
- This role is ideal for an organized, detail-oriented individual with well-developed critical thinking skills and possesses the ability to manage multiple tasks in a fast-paced environment;
- Previous experience in a mailroom, clerical, or administrative role is desirable but not essential;
- Familiarity with scanning equipment and basic computer applications (e.g., document management systems, email);
- Strong written and verbal skills are required;
- Working knowledge of Microsoft Word, Excel and Outlook is preferred.
