Who We Seek 
Under the supervision of a Senior Vice President or Assistant Vice President, you will be responsible for organising board meetings of a portfolio of client companies, including investment funds managed by some of the largest asset managers in the world. 
  
About the Role 
  
Primary responsibilities include: 
  • Support corporate secretarial professionals with the coordination and scheduling of Board, Committee and Shareholder meetings;
  • Drafting agendas for meetings and ensuring efficient preparation and distribution of board packs in a timely and accurate manner;
  • Liaising with third party service providers, including auditors, fund administrators and independent non-executive directors, to collate and distribute board packs and other meeting materials;
  • Preparing and updating action point lists, maintaining accurate client related records, responding to queries from clients and service providers and acting as a channel of communication for the directors and client companies will be required;
  
  • Under appropriate supervision, attend client board meetings and assist with the preparation of minutes; and
  
  • On-boarding new client engagements and database maintenance.
  
  
What You Bring 
  
In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following: 
  
  • An excellent standard of English and an ability to write clearly and succinctly in English are essential pre-requisites for the role.
  
  • A knowledge of Cantonese and Mandarin would be an advantage.
  
  • A degree holder with a minimum of 2-3 years’ working experience in legal, fund administration or financial services industry disciplines.
  
  • Demonstrate a strong ability to complete tasks while under pressure.
  
  • Be proficient in all MS Office and Microsoft applications and must be able to work on their own initiative or as part of a team.
  
  • Must have excellent organisational and planning skills with strong attention to detail.
  
  • Excellent communication skills.
  
  • An interest in the financial services industry.
  
  • Be pursuing or have an interest in pursuing a corporate secretarial qualification.
