About the Role

The Team Leader will be responsible for supervising the support team of secretaries, ensuring even distribution of workload, and that deadlines are met. They will serve as a go-between for the lawyers and support staff to resolve any issues and ensure work is done to the high standard set by the Maples Group. The Team Leader will serve as a key knowledge resource within the team in relation to administrative matters. The successful applicant will be a strong communicator and proactive problem solver, able to prioritise, multi-task and work under pressure. The Team Leader will work closely with the Group Partner and also directly support attorneys in the day-to-day administration of working in a legal environment. 

Core responsibilities include but are not limited to:

Secretarial support

  • Adhoc document drafting – both non-standard corporate documents and standard and non-standard legal documents (including engagement letters, legal opinions)
  • Incorporating amendments and name changes to documents and preparing blacklines of documents
  • Timesheet entry
  • Day to day printing and scanning of deal documents etc. for attorneys in addition to printing presentations, and various materials for meetings, conferences or training etc.
  • Interaction updates (including adding internal/external contacts, maintaining matter file contacts, adding and maintaining addresses on Maples Address Change site)
  • File closing, archiving and destruction
  • Printing prebills, requesting invoice edits, liaising with KYCollections in Leeds, maintaining billing groups, liaising with AccountsHelp in relation to arranging for wires to return funds etc.
  • Other ad hoc tasks as required by lawyers - e.g. answering calls, timesheet queries, research requests to the library; producing charts, general fact finding; stationary requests and sorting IT problems etc

Team Management

  • Deal with day-to-day issues of their team including minor HR issues, time entry tracking, vacation planning and sick leave/maternity coverage as well as approving/reporting overtime
  • Attend interview process for new support team members with HR and give feedback to HR
  • Coordinate with HR, IT and any other relevant parties as to office/workstation locations of new staff members joining the team, ultimately ensuring a consistent, smooth and effective working environment
  • Train and mentor new joiners, junior support team members and vacation students.This will include familiarisation with the department's filing, accounting, word processing, client management and other relevant systems. The Team Leader will act as the “new joiner’s buddy”
  • Coordinate and assign secretarial support to new attorneys, contacting HR if additional support is required within the team
  • Monitor support team personnel, productivity and capacity
  • Provide overall management of workflow and allocation of secretarial support requests from internal and external sources within the team
  • Organise team and lawyer events and co-ordinate lawyer attendance at client functions, liaising with Marketing where necessary
  • Significant involvement in annual appraisals for support team members, e.g. seeking feedback from relevant parties and participating in review meetings and identifying training needs in conjunction with HR
  • Work with HR to create development plans for each member of their support team
  • Provide on-going constructive and specific informal feedback on support team members, recognising both strengths and areas for improvement
  • Effectively supervise completion of work delegated to Administrative Assistants, Junior Secretaries and Secretaries
  • Be available to team members to assist and advise as a sounding board where applicable
  • Identify, develop and maintain training plans for new support personnel in conjunction with the Talent Manager
  • Coordinate and manage the file management process for your practice group including file opening, archiving and eventual destruction
  • Ensure consistent application of policies and procedures within the group
  • Maintain petty cash for the department
  • Organize and maintain records of team/guest speakers at monthly team meetings, ensuring security for department controlled documents/iManage files is maintained/adhered to
  • Arrange/record/facilitate attendance at internal training sessions given by the Regulatory Team lawyers to transactional teams
  • Management of cross-jurisdictional vacation requests/business travel arrangements to ensure adequate cover throughout the year, and responsibility for ensuring the entire cross-jurisdictional team is aware of team events/department staff movements on a month by month basis
  • Liaise at multiple levels across multiple jurisdictions so should have good inter-personal and communication skills; and
  • Assist with any other duties as may be assigned from time to time

EXPERIENCE

What You Bring

In addition to indisputably high ethical standards, the ideal candidate possesses the following:

  • At least 5 years' prior secretarial experience in a professional office environment
  • A minimum of 2 years' experience leading and supervising a team
  • Knowledge of Regulatory/Trusts & Estates law is desirable
  • Approachable and personable
  • Strong written and verbal communication skills
  • Strong attention to detail
  • Proficiency in document formatting skills and Excel
  • Ability to work under pressure
  • Strong organisational skills; and
  • Strong work ethic and ability to maintain the highest standards of confidentiality
  • Knowledge of Microsoft Office Suite, in addition to: ADEX, Adobe,  iManage, Interaction, Darwin, Litera, and CORIS and experience working with multiple areas of law would be an advantage
