About the Role

The Assistant Corporate Services Manager ("AM") is responsible for day to day operations and management of the Corporate Services Group ("CSG" or "team") to which they are assigned. Reporting to the Corporate Services Manager ("CSM"), they will monitor all resource requirements of the team, collaborating with any other AMs in their team to develop agile working practices. The AM is responsible for all people related activities (with support from the CSM as required) within the team and focuses on the development of soft skills of SCAs. Primary responsibilities include: 

Corporate Services and Risk Management

  • Providing overall management of workload and allocation of corporate services requests from internal and external sources within their team
  • Monitoring allocation of resources within the team to ensure tasks and projects related work is completed in a timely manner
  • Ensuring the team completes corporate services requests accurately, efficiently and on time in accordance with MCS policies and procedures
  • Ensuring availability to the team to assist and advise on more complex and sensitive client matters, identifying the risks, determining the resolution process and taking ownership of overseeing the issue to completion, liaising with the CSM as appropriate
  • Developing effective working relations within their team to ensure the effective and efficient operation of the team
  • Supporting and assisting the CSM with ad-hoc projects from time to time which may include, but is not limited to, the production of reports from the Maples Group databases as necessary, showing leadership and awareness of effective project processes to ensure accuracy of information, delegation of project tasks to the team and completion in accordance with prescribed deadlines
  • Auditing the work of the team to ensure tasks are completed in an accurate and timely manner to avoid penalties from Government regulators and departments
  • Identifying, managing and reporting group and business issues in respect of their team, liaising with the CSM and/or MCS Heads of Department as necessary
  • Ensuring that the affairs of their CSG's portfolio of companies, partnerships and trusts are consistently managed in accordance with applicable Cayman Islands Acts, regulations, internal risk management requirements and the standard of client services, policies and procedures set by MCS and within the group

Technical Expert and Advisor

  • Preparing, reviewing and/or assisting with the drafting of documentation relating to the administration of all of their CSG's portfolio of companies, partnerships and trusts
  • Preparing, filing and/or obtaining all authorisations, consents, approvals, licences, validations or exemptions that are required by Cayman Islands law from any Governmental authorities, agencies or private Government companies or other official bodies in the Cayman Islands with respect to the CSG's portfolio of companies, partnerships and trusts
  • Accurately reviewing and signing-off completed work delegated to the team as may be necessary
  • Ensuring all relevant MCS databases are maintained with accurate information in relation to the CSG's portfolio of companies, partnerships and trusts
  • Ensuring all annual administration as well as any day-to-day filings with the Registrar of Companies and Cayman Islands Monetary Authority in respect of the CSG's portfolio of companies, partnerships and trusts is completed in accordance with MCS policies and procedures and in a timely manner

People Management and Relationship Management

  • Developing personal networks inside and outside the firm for the benefit of the firm
  • In conjunction with the CSM, provide input, conduct/participate and provide feedback in respect of mid-year and annual performance reviews (including setting performance targets and personal goals) for their team, partnering with HR stakeholders and MCS Leadership to deliver an effective process
  • Providing on-going constructive and specific informal feedback to each member of the team, recognising both strengths and areas for improvement
  • Assisting as needed with training plans for new and existing team members
  • Managing resources within the team to ensure coverage at all times
  • Collaborating with any other AMs on the team to support agile working practices
  • Supporting recruitment requirements as required
  • Handling conflict resolution, in collaboration with the CSM, MCS Heads of Department and/or the Human Resources Department, as necessary
  • Monitoring the day-to-day working practices of their team, producing reports from the Maples Group databases as necessary and holding regular group meetings to discuss current issues and business, canvassing opinions and providing feedback to the CSM on a regular basis
  • Providing day-to-day coaching to SCAs and practical support for supervisors to promote consistency in all corporate services practices
  • Developing effective working relations within their team to ensure its efficient operation
  • Overseeing ACA programme participants, providing feedback, status updates and insights to the CSM on a regular basis
  • Working closely with other AMs and the wider team, in collaboration with others, to identify training needs and provide targeted training as may be required, liaising with the AMs of other CSGs to ensure the consistent following of MCS and the Maples Group practices, policies and procedures
  • Attends regular training and professional development to stay abreast of people management and other relevant skills appropriate for the role, as well as current regulation and policy requirements
  • Maintaining a high level of expertise in relevant Maples systems
  • Acting as an authorised signatory for MCS and Mapcal Limited
  • Assisting the CSM and/or MCS Heads of Department in any other area of the management and supervision of the team including, but not limited to projects and/or management of their CSG's portfolio of companies, partnerships and trusts as required

EXPERIENCE

What You Bring

In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses the following: 

  • Minimum of 7 years prior corporate administrative experience, with 3 years in a supervisory role
  • Associate's degree in business administration or CGI Certificate in International Finance and Administration preferred
  • Experience training and developing others to enhance their skill set
  • Excellent written, oral and interpersonal communications skills
  • Ability to build effective working relationships with peers and CSMS
  • Ability to proactively leverage technical knowledge and skills to implement change effectively
  • Ability to analyse data to produce reports required for the management of the team
  • Participate and engage with technical projects to address inefficiencies and drive forward the implementation of solutions
  • Utilizing their SME to connect the dots and solve complex requests
