Assistant Substitute Coordinator

Position Summary

The role of the Assistant Substitute Coordinator, under the direction of the Substitute Coordinator, is to assist with administrative tasks related to arranging substitute teacher requests for both the middle and upper school. This role includes assisting with daily monitoring of the requests for substitute teachers, due to planned or unplanned absences, and working to staff these absences with credentialed substitute teachers. Also, the Assistant Substitute Coordinator troubleshoots potential issues, communicates concerns as they relate to teacher absences and coverage, and maintains consistent communication with the Substitute Coordinator.


Primary Responsibilities


Administrative Responsibilities 

  • Support with managing the academy-wide substitute request process
  • Assist in communicating daily schedules to substitute teachers
  • Support with recording teacher absences and collecting data regarding coverage needs
  • As needed, stock and maintain substitute binders with documents on MWA protocols for substitutes
  • Collect and organize data related to substitute requests and faculty absences upon requests
  • Scan the environment for potential threats to safety for students connected to appropriate substitute teacher performance and actions as well as general supervision on the campus
  • As needed, teach classes when adequate substitute coverage cannot be obtained

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers and smartphones.


Physical Demands

While performing the duties of this job, the employee may be required to lift items more than 10 lbs. and walk to both Middle and Upper School campuses.



Some travel required for MWA related events, such as workshops or conferences.






  • 2 years or more of substitute teaching experience
  • Administrative experience highly desirable

  • Bachelor’s Degree required
  • Current CA teaching credential or substitute teaching permit required
