Job Title: Retention and Leasing Specialist
Reports To: Regional Leasing Manager
Overall Responsibility:
The Retention and Leasing Specialist is responsible for maintaining high occupancy levels and maximizing resident satisfaction through effective leasing and retention strategies. This role combines the responsibilities of a Leasing Consultant and a Retention Specialist, ensuring a seamless experience for both new and existing residents.
Key Responsibilities:
Leasing:
- Assist in the execution of established leasing policies and procedures.
- Manage the entire leasing process, from initial inquiry through to move-in, including touring apartments with prospective residents and following up on visits.
- Prepare and manage all lease paperwork and ensure compliance with company standards.
- Maintain the availability list and status reports, including tracking lease terminations and renewals.
- Log and track all traffic, ensuring accurate follow-up and appointment setting.
- Participate in off-site marketing programs to attract new tenants.
- Promote and manage resident and business referral programs.
- Conduct regular inspections of model and vacant units to ensure they are clean and in good repair, preparing work orders as needed.
Retention:
- Oversee the monthly renewal process for current residents, including follow-up communications and organizing service requests.
- Serve as the primary contact for residents with questions about lease renewals, ensuring their satisfaction and addressing any concerns promptly.
- Handle resident correspondence, including legal notices, and appear in court if required.
Customer Service:
- Provide exceptional customer service, consistently exceeding industry standards in resident interactions.
- Address and resolve resident concerns or issues in a timely and professional manner.
- Warmly greet prospective residents and guests, representing the community professionally.
Qualifications:
- Bachelor’s degree in business or a related field preferred.
- 1-2 years of experience in multi-family property management, leasing, or customer service.
- Knowledge of established leasing practices and procedures.
- Strong communication skills, both oral and written, with an emphasis on customer service.
- Proficiency in Microsoft Office Suite, Yardi, and Salesforce preferred.
- Ability to multi-task, prioritize, and manage time effectively in a fast-paced environment.
Measures of Success:
High resident satisfaction as evidenced by positive feedback and occupancy rates.
- Efficient and accurate handling of leasing paperwork and renewal processes.
- Effective management of resident concerns, ensuring prompt resolution and follow-up.
