Objective

This position supervises and coordinates the warehouse for the Parts Department, which provides parts support to heavy equipment and engine customers.  Representative duties include supervising the warehouse staff; directing and coordinating the work flow; managing and coordinating all shipping and receiving of parts; processing the stock order, back orders and returns; performing inventory count; reorganizing the warehouse as needed for space requirements; training warehouse staff; communicating procedural updates and product changes to staff; delivering orders to internal and external customers; keeping warehouse clean and free from safety hazards; and assisting the Parts Supervisor as needed

Responsibilities

  • Supervises, directs and manages the warehouse and staff, including assisting the Parts Manager with performance evaluations and goal setting; coaching; mentoring; training to assure safety, development of skills, employee satisfaction and retention; coordinating and monitoring the workflow to assure efficiency, profit and customer satisfaction; scheduling and assigning duties and special projects as needed to staff; and communicating procedural updates and product changes to staff.
  • Maintains the warehouse area and equipment, including keeping the area and equipment clean, organized and in good working order; suggesting equipment replacement when needed to ensure safe working conditions; and reorganizing the warehouse to manage location changes and improve safety, appearance and efficiency.
  • Assists in accomplishing the department’s financial goals by sharing responsibility for all results, including profitability, customer satisfaction, turnover, employee satisfaction, etc.; eliminating errors that result in customer dissatisfaction and financial matters, including troubleshooting and resolving customer complaints promptly and courteously; communicating potential issues and opportunities to the Parts Supervisor; and promoting safety within the department.
  • Performs customer service and customer relation duties in a timely manner to establish positive, cooperative, working relationships with internal and external customers, including pulling parts; delivering parts to customers; assisting with back orders; and assisting will-call, telephone and walk-in customers as needed.
  • Serves as a liaison between the customer, the Company and Caterpillar and develops an effective working relationship with Caterpillar and all internal service departments to assist in completing jobs in a timely manner and resolve customer complaints.
  • Performs all shipping and receiving of parts duties, including selection of appropriate carriers; processing, balancing and filing shipping discrepancy claims; and processing received stock.
  • Compiles quotes; processes all weekly and quarterly returns; processes credits; puts stock away; and completes the inventory count, including bin count reconciliation and daily physical reconciliation returns.
  • Performs related duties as required.

Qualifications

  • Knowledge, skills and abilities typically acquired through a high school education or the equivalent with some business background preferred.
  • 3-5 years of warehouse work-related experience in parts and/or an inventory related position or the equivalent and some computer and Caterpillar experience preferred.
  • Excellent communication skills, including verbal, written, and listening skills with good non-verbal skills.
  • Excellent customer service skills, including the ability to meet and/or exceed customer expectations.
  • Excellent organizational, creative thinking and decision-making skills with strong goal setting skills.
  • An excellent knowledge of the product with a basic knowledge of the product market and a strong respect for the Caterpillar influence.
  • An excellent ability to operate industry specific database programs and main frame computer programs.
  • Excellent coaching and counseling skills and basic influence and negotiation skills.
  • An excellent ability to manage change, conflicts and projects with good performance evaluation skills.
  • Strong problem solving skills with an ability to interpret and apply policies, procedures, guidelines and regulations.
  • The ability to obtain and maintain a valid State of Indiana driver’s license.
  • The ability to operate a forklift and other warehouse related equipment.
  • The ability to work overtime and be on-call as needed, including weekends.
  • The ability to uphold professionalism with both internal and external customers, including personal appearance and friendly, courteous treatment of peers, subordinates and customers.
