Position at MacAllister Machinery

Objective

This individual will provide support to incoming questions from customers regarding their account with a goal of always providing assistance in a quick, friendly and efficient manner. Assist and sometimes orchestrate clerical functions necessary to the fulfillment of other departments’ functions, including the mailing of invoices and personal property tax filings.

Responsibilities

  • Responds to customer questions and concerns to resolve issues they may be experiencing.
  • Communicates information to customers regarding their accounts
  • Maintains an orderly work area
  • Collect credit reports on new customers
  • Call trade references regarding new customers
  • Coordinate delivery of credit packet to Manager for new account decisions
  • Enter/scan documents, track and generally assist in both the establishment of new accounts and the maintenance of existing accounts.
  • Pull historical data and information regarding existing and past customers
  • Assist Manager in the prompt establishment of new accounts and communicating to branches/sales the status of accounts
  • Place Certificates of Insurance into the system and confirms the appropriateness of each
  • Assists IT in the mailing of multi-page invoices and multi-invoice customers
  • Assist others in the Department in making inquiry into historical transactions in customers’ accounts, especially soon after Statements are mailed out the first of each month.
  • Determines need for COD accounts and reports those needs to Manager
  • Create, stuff, and mail monthly customer statements

Qualifications

  • Knowledge, skills and abilities typically acquired through a high school education with technical training
  • Minimum of 2 years of experience as a full time Customer Service Representative
  • High level of interpersonal skills and the ability to work as a team player
  • Great customer service skills
  • Great communication skills including the ability to exhibit a high degree of tact, diplomacy and discretion
  • Excellent organizational skills
  • Must present a cordial, pleasant, professional, informed, compliant demeanor to customers in an almost ‘urgent’ manner.
  • Must respond to all customer and internal queries in a more than timely manner
  • Needs to quickly develop an understanding and appreciation for general A/R and A/P processes, as well as open account parameters and processes, including credit report, guarantees, large corporate practices, sales tax exemption, insurance requirements, ACCORD forms, and other rudimentary business transactions.
