What You Will Do:
Under the guidance of the ECVC & IP Event Manager, this position supports the planning and execution of client events and business development initiatives for the firm’s West Coast offices, while collaborating closely with the broader ECVC & IP Events team across offices. This role combines hands-on event coordination with strategic business development support to enhance client engagement, strengthen market visibility, and support attorney relationship-building efforts. This position is San Francisco based with occasional travel to our Palo Alto office for events and will offer a hybrid remote work opportunity. This position requires regular on-site presence at events throughout the Bay Area, including Palo Alto and San Francisco, with occasional evening commitments.

- Coordinate a wide range of events, including client programs, panels, networking receptions, and dinners
- Handle event logistics from concept through post-event follow-up, including:
- Venue sourcing (internal and external)
- Vendor coordination (catering, A/V, rentals, etc.)
- Run-of-show development and on-site execution
- Create and manage event timelines, budgets, and checklists
- Coordinate across internal teams (IT, Office Services, Marketing, Reception, etc.)
- Attend and manage events on-site, ensuring seamless execution and high-quality client experience
- List and invite management, including but not limited to:
- Creating and sending invites out on behalf of key attorneys to dinners and events;
- Create searches, run reports and update information in firm’s CRM system;
- Research and update contact information as needed;
- Coordinate with attorneys and admins to obtain lists and send invites.
- Other tasks, including but not limited to:
- Manage multiple projects simultaneously with precision and attention to detail;
- Coordinate with building security and firm staff as needed;
- Keep and maintain stock and equipment in an organized manner;
- Coordinate ordering of event supplies;
- Working knowledge of CRM and event management software;
- Other tasks as assigned.
- Collaborate with Business Development team and attorneys to align events with client targeting
- Assist with identifying target audiences and building strategic invite lists using CRM tools
- Support development of event-related marketing materials (invitations, follow-ups, collateral)
- Track and report on event attendance, client engagement and follow-up opportunities
- Assist with post-event follow-up, including coordinating outreach and identifying business opportunities
- Conduct light research on clients, industries, and prospects to support event strategy
- Brainstorm ideas for new event formats that enhance market presence
- Minimum 2 years’ experience in event planning, marketing, or business development experience (professional services or law firm experience preferred)
- Bachelor’s degree preferred
- Strong organizational and project management skills, with the ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills, along with strong interpersonal abilities
- Ability to work confidently and professionally with attorneys, clients, executives, and external partners
- Experience with CRM systems and event management platforms is a plus
- Highly detail-oriented with strong execution and follow-through skills
- Strategic thinker with an interest in business development and client engagement
- Proven ability to build relationships with a client-service mindset
- Adaptable, proactive, and solutions-oriented approach to problem-solving
- Ability to work both independently and collaboratively across teams
- Willingness to maintain regular on-site presence for events across the Bay Area
- Flexibility to travel locally and work early mornings or evenings as needed
Schedule: Full-time, Monday through Friday, 9:00 AM – 5:30 PM, Flexibility to work early mornings or late evenings on occasion
Travel Required: Frequent travel to the Palo Alto office and throughout the Bay Area for events
