Position: DC Services EDI ASN Administrator
Location: Port Coquitlam, BC (Distribution Center)

The DC Services EDI ASN Administrator will support the ASN and pre delivery process, ensuring Vendors adhere to our requirements laid out in our Supplier Handbook. The goal for this role is to get as many Vendors on EDI 856 and do pre-deliveries for the ones unable to.

Major Responsibilities 

  • Review the inbound appointment schedule and create pre-deliveries for shipments from vendors not yet enabled for EDI ASNs.
  • Regularly assess and recommend improvements to pre-delivery and receiving processes to improve efficiency, accuracy, and speed; collaborate with the DC Services EDI ASN Specialist, receiving teams, and vendors to implement improvements.
  • Ensure ASNs are received accurately and without errors; work with the DC Services EDI ASN Specialist and external EDI providers to troubleshoot and resolve ASN issues promptly.
  • Work closely with vendors to proactively identify and resolve recurring issues related to ASNs, packaging, labeling, and compliance, maintaining clear communication to prevent future issues.
  • Follow up with vendors who do not meet requirements outlined in the Supplier Handbook, driving corrective action and compliance.
  • Leverage Power BI, Excel, and other reporting tools to identify trends and improvement opportunities in vendor performance; propose action plans to improve compliance and receiving accuracy.
  • Provide ongoing training and support to Receiving teams on ASN requirements, vendor score tracking, and damage reporting processes.
  • Hold regular tactical meetings with IT to identify root causes of ASN and EDI issues and drive resolution.
  • Collaborate with Finance, IT, and Operations to improve end-to-end EDI processes, data quality, and document flow.
  • Take ownership of PO and Invoice EDI flows, supporting improvements in automation, accuracy, and 3-way matching (PO / ASN / Invoice).
  • Ensure compliance with company policies, procedures, and warehouse health & safety standards at all times.
  • Maintain current knowledge of EDI requirements, WMS systems, and relevant operational processes.
  • Perform other related duties as assigned to support operational and continuous improvement objectives.

Experience & Background

  • Experience in retail, distribution, supply chain, finance, technology, or operations environments.
  • Familiarity with supply chain documents such as POs, ASNs, bills of lading, and invoices is highly valued.
  • Solid MS Excel experience
  • EDI experience is preferred but not required for candidates with strong technical aptitude and data literacy.
  • Demonstrated interest in data, systems, and process improvement.

Technical & Analytical Skills

  • Strong comfort working with computers, data, text files, and Excel.
  • Ability to review, validate, and troubleshoot structured data.
  • Experience with ERP, WMS, or other operational systems is an asset.

Goals and Objectives

  • Get trained on EDI ASN requirements in partnership with the DC Services EDI ASN Specialist.
  • Onboard vendors to provide ASNs according to the established schedule, with a target of 25% of vendors using EDI or pre-delivery by August 31, 2026.
  • Identify vendors that are unable to provide ASNs and determine alternative methods to collect required shipment data in order to create pre-deliveries in the Klipboard Autopart ERP.
  • Gather and analyze data to support the development of vendor compliance fees related to issues such as missing or incorrect barcodes, poor pallet quality, missing packing slips, and other non-compliance items.
  • Consistently maintain a safe, organized, and tidy warehouse environment, supporting health and safety standards and operational best practices.
