Position: Payroll Specialist

 

Job Overview:
The Payroll Specialist is a key contributor to the Total Rewards team, responsible for accurate and timely processing of payroll for all employees using Ceridian Dayforce. This role ensures payroll integrity through data entry, audits, compliance, and reporting, while providing exceptional support to employees and HR on payroll-related inquiries. You’ll play a vital role in maintaining accuracy, system integrity, and adherence to company policies and legislative requirements.

 

Accountabilities:

Bi-weekly payroll processing

  • Complete full bi-weekly payroll for hourly and salaried team members and support benefits administration.
  • Ensure all job-related events are accurately recorded (new hires, terminations, leaves, promotions, transfers, status changes, vacation eligibility, merit and retro pay, department cross charges, payroll summary sheets, TM expense reimbursements including safety shoe expense).
  • Process benefit deductions outside of normal bi-weekly cycles and update benefit premium cheques received from TMs on leave.
  • Maintain and update accurate payroll records in HCM (RRSP, garnishees, banking information, CPP exemptions, EI reduced rates, federal/provincial tax exemptions)..
  • Process ROE’s for TM and liaise with Service Canada
  • Update +18 rates for hourly TMs.
  • Short-term disability payment processing.
  • Maternity / Parental leave top-up payment processing.
  • Work through Dayforce issues and work arounds to ensure payroll is committed with no errors.
  • Exercise appropriate decision-making when resolving TM pay issues using policies, procedures, and judgment.

Supporting Annual Cyclical processes

  • Run ad hoc discrepancy reports and audit payroll uploads and inputs for accuracy.
  • Support the Payroll Manager with annual processes including merit, bonus, service awards, recognition programs, and T4s.
  • Provide front-line support to Store Managers, File Maintenance, and TMs regarding annual payments.

 

Communications & Customer Service

  • Respond to calls and inquiries from Store Managers, File Maintenance, Team Members, Canada Revenue Agency, Service Canada.
  • Prioritize incoming requests and address urgent items immediately.
  • Collaborate with the Total Rewards and HR teams.

 

Store Payroll Specialist Support

  • Provide day-to-day support to Store Payroll Specialists for payroll processing questions, feedback, and issues.
  • Respond to calls and email inquiries from Store Managers, Administrators, and Team Members.
  • Ensure confidentiality and security of payroll records.
  • Develop best practices and workflow processes
  • Provide training during File Maintenance bi-weekly calls to improve use of the Dayforce payroll module and address store issues.

 

Audits and Controls

  • Assist in verifying timesheets and support year-end processing.
  • Complete the annual PIER (Pensionable and Insurable Earnings Review) report; investigate CPP/EI discrepancies and prepare payments as required.
  • Assisting with yearend, EHT summary and WSIB reconciliation reports.
  • Audit store-level Payroll Specialist inputs, correct errors, and communicate updates back to the store.
  • Identify timesheet errors prior to payroll commit and make corrections upon store approval.

 

Other related responsibilities

  • Assist with special projects such as system upgrades, legislative changes, process improvements, and Total Rewards initiatives.
  • Backup support for benefits administration
  • Other duties as required

 

Knowledge, Skills & Competencies:

  • 2–5 years of payroll experience; Dayforce experience strongly preferred.
  • Strong understanding of payroll regulations and tax laws.
  • Proficiency in time & attendance systems, payroll administration, and reporting.
  • Excellent attention to detail and problem-solving skills.
  • Ability to manage deadlines in a fast-paced environment.
  • Strong communication and customer-service orientation
