Position: Accounts Payable and Accounting Clerk
Job Overview:
The Accounts Payable and Accounting Clerk is primarily responsible for all activities related to the timely and accurate processing of the full accounts payable cycle including retrieving and sorting all incoming mail, invoice and credit processing, filing and retrieving all required documentation and managing document destruction. The role must demonstrate a high degree of accuracy while working at a fast pace and being able to prioritize and organize a variety of on-going tasks in multiple systems.
Accountabilities:
File and/or retrieve all required documentation (paper document storage)
- Accurately file and label invoices and storage boxes accordingly on a quarterly basis
- Retrieve packing slips and invoices as required by the business
Manage and execute paper document destruction schedule
- Maintain paper documentation in the filing cabinets and storage room by assigning the appropriate destruction date stamps based on internal policy and retention duration requirements
- Assist the AP Manager with execution of the destruction of paper documents as per the retention/destruction policy
Manage third party reporting and support ongoing accounting functions
- Monitor and issue and validate data for invoices in relation to third parties including pharmacy, sushi, gift cards and wine
- Prepare journal entries related to the bank accounts on a weekly basis
- Assists in cash receipt applications
- Support other ad hoc accounting tasks as they arise
