Position: Supply Chain & Master Data Analyst
Job Overview:
Functioning with minimal oversight, this role takes ownership and responsibility for the end-to-end process of material and vendor set up, costing, promotion management, forecasting and replenishment. Responsibilities include set up and maintenance of vendor and product master data; cost and price changes; assurance of data quality; issue resolution; forecasting and replenishment for warehouse stocked, cross dock and flow items; cost optimization and management of aged inventory. The Analyst, Supply Chain and Master Data actively makes decisions for weekly purchases more than $2 million.
Accountabilities:
Data Entry:
- Set-up and maintain data pertaining to vendors, new products, existing products, cost and price changes, promotional activity using provided tools and procedures.
Investigation:
- Review data entry requests for accuracy and reasonability and potential conflicts with data already in the system.
- Investigate errors to identify the root cause of the issue before completing the assigned data entry request.
- Investigate any invoice discrepancies and attach proper documentation with authorization to pay per agreed pricing.
- Review non scanning issues and retail pricing discrepancies reported by the stores daily, investigate and document root cause, and interact with other departments and vendors to resolve them.
- Run several Access queries daily and update specific fields as required to the data tables.
- Work with multiple computer systems in ensuring data consistency and accuracy.
Error Resolution:
- Communicate via phone, email and in-person with category managers and suppliers to seek resolution before completing the assigned data entry request on time.
- Identify source of error and follow-up with appropriate stakeholder with recommendations.
- Forecasting and Replenishment for warehouse, cross dock and booked items for chain wide consumption:
- Maintains committed in-stock inventory levels and optimal inventory on warehouse stocked items by managing the product order cycles, vendor minimums, vendor lead times, product shelf life, truckload capacity and logistics schedules and executing purchase orders, when appropriate
- Revises system forecast to factor in any abnormalities and executes purchase orders, when appropriate
- Reviews chain wide inventory and initiates transfers of goods as needed
- Orders for promotions based on prior sales performance, professional knowledge, and current market factors such as specials advertised by the competition.
- Follows-up with vendor to ensure vendor has blocked time with the warehouse and prevent delays in receipt of order.
- Coordinates the return of products with vendors due to various reasons, on an ongoing basis
Supplier Performance:
- Investigates vendor service level issues and pricing issues at every instance and communicates implication with Category Managers and Manager, Inventory Management
Cost Optimization:
- Actively manages the utilization of deals and forward buys to ensure maximum overall benefit
Management of Product Aging:
- Negotiates special deals with vendors, as needed, to deplete excess stock
Reporting:
- Maintain a central log of issues to provide all stakeholders and management with visibility to recurring issues and sources of issues.
- Report on KPI’s.
Customer Service:
- Execute and respond to stores and other support center departments, vendor requests and management requests in a timely manner
- Support Supply Chain team with additional projects and tasks, as assigned
Health and Safety:

- Role models the importance of health and safety by always working safely and calls out and addressed and safety issues.
- Recognizes risks which may pose a danger to Team Members and customers and resolves such issues (where possible) or modifies work, mitigating the risk to Team Member/customer until resolution can be sourced and implemented (i.e. Longo’s Call Centre Harassment/Violence Reference Guide)
- Ensures all pre-use checks (where applicable) are conducted and all equipment is maintained to provide for safe operation by Team Members.
- Ensures that TMs are trained to safely carry out their work in the department and ensures that all work is safely carried out by Team Members.
Knowledge, Skills & Competencies:
- Post-secondary certificate or diploma required, preferably in a Business Administration Field of Study
- Strong knowledge of grocery retail business in terms of seasonality, consumer behavior and product mix
- Prior experience in problem analysis and resolution
- 5 years’ experience in retail environment required
- 3 years’ experience in forecasting and replenishment
- 2 years’ experience with an ERP
- Strong working knowledge of Excel, and Word is required
- Working knowledge in Access is highly preferred
- Strong customer-service orientation
- Strong oral and written business communication skills
- Ability to work with minimal supervision and capable of meeting deadlines
- Excellent analytical and problem-solving skills
- Ability to manage multiple projects and changing priorities with regular deadlines
- High attention to detail while processing large amounts of data
