The Role and Team:

 We are looking for an enthusiastic, experienced, adaptable, highly organized and detail-oriented person to fill a hybrid role that combines the responsibilities of an Executive Assistant and Project Manager to provide comprehensive administrative support to our Finance Leadership Team and may be asked to provide support to other executives on an ad hoc basis.

This role will work closely with the CFO and their Leadership Team.  The successful candidate will be a proactive problem solver with excellent communication skills and the ability to maintain confidentiality.

In this role you will:

  • Manage complex calendars and schedule meetings, travel arrangements and other executive commitment, ensuring optimal time allocation and prioritization of meetings, appointments, and events

  • Arrange domestic and international travel logistics, including flights, accommodations, and ground transportation, while adhering to budget and company travel policies

  • Prepare and manage correspondence, emails, reports, presentations, and other documents as needed

  • Draft and proofread emails, memos, presentations, and other correspondence on behalf of the CFO and leadership team, ensuring clear and concise communication

  • Coordinate logistics for meetings, prepare agendas and materials, take minutes, and track action items

  • Assist with special projects, research, data collection, and analysis as required

  • Oversee project execution, tracking progress, identifying risks and issues, and implementing corrective actions to ensure timely completion and successful outcomes

  • Communicate project status and updates to stakeholders, ensuring transparency and alignment throughout the project lifecycle

  • Maintain detailed project documentation, including project plans, status reports, and meeting minutes, for future reference and knowledge sharing

  • Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and other departments.

  • Process expense reports, invoices, and purchase orders, and assist with budget tracking

  • Own new employee onboarding for our team from information sharing and training to adding to communication channels to securing equipment and supporting managers with new employees

  • Become a point person for our team to navigate internal tools and processes 

  • Ensure that team members are aware of company policies and procedures, as well as any specific team guidelines

  • May need to support other Executives on an adhoc basis.  

  • Maintain strict confidentiality of sensitive information and ensure compliance with company policies and procedures

Key Qualifications:

  • Bachelor's degree or relevant industry experience

  • Proven experience as an Executive Assistant or similar role, preferably in a finance or corporate environment

  • Strong bias for action

  • Exceptional organizational, time management, and prioritization skills

  • Corporate maturity

  • Strong attention to detail and accuracy

  • Exceptional written and verbal communication skills

  • Ability to work independently and as part of a team

  • Ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment

  • Strong problem-solving and decision-making skills

 This position offers an annual salary typically between $ 106K and $ 154K, depending on location and experience. In certain circumstances, higher compensation will be considered based on the business need, candidate experience, and skills
