Position Summary:
Responsible for assisting with the administration and maintenance of the Company's Benefits, and Health and Wellness plans while providing analytical, technical and customer service support in the delivery of all benefits. Additionally, this position plays a lead role in promoting the company's Health and Wellness programs.
Responsibilities:
- Serves as the point of contact for benefit related questions; maintains Benefits email inbox and responds to employee inquiries regarding benefits, retirement plans, PTOs and leaves of absences (LOAs); manages and updates the benefits internet site as needed.
- Provides technical research, answers employee questions regarding interpretation of benefit policies, reviews disputes and appeals, and completes third party requests. Works with carriers and providers in monitoring systems and administration of plans and assist employees with problem resolution.
- Provides counseling to employees to ensure employee understanding of all health & welfare benefit programs, policies, eligibility; generates necessary correspondences as required.
- Develops and deploys ongoing communication strategy to educate employees, spouse and dependents on company benefits and wellness initiatives, including enrollment presentations.
- Assists in facilitating weekly new hire benefit orientation meetings both in person and via webinars; accountable for sending weekly new hire communications to all benefit eligible employees, and monthly 401k enrollment communications to all eligible new hires.
- Develops, maintains, and/or distributes ad-hoc reports related to Benefits and/or Health and Wellness programs as needed.
- Benefits & Systems Administrator:
- Ensures benefit deductions are accurate by reviewing bi-weekly, semi-monthly benefit payroll deduction reports; research benefit deductions for corrections and communications as necessary to resolve inaccuracies.
- Reconciles flexible spending & health savings account files in accordance with payroll schedules prior to files being uploaded to FSA/HSA vendor.
- Audits & tracks 401k loan repayments and deferrals, ensuring accuracy within payroll system and communicating past due loan payments to employees and third-party administrators.
- Audits and reconciles enrollment in all health & welfare benefit programs on a weekly basis, ensuring additions, qualified life events and terminations are accurately reflected within the benefits administration system.
- Responsible for reconciling benefit billings via a third-party system, generating invoices and liaising with the accounting department to ensure timely processing of benefit payments to carriers.
- Daily review of benefits administration system to ensure system is functioning as programmed; communicates with internal and external stakeholders to resolve benefit administration system issues; creates and maintains benefit processes and controls.
- Manages timely completion of audits related to health & welfare benefits plans, 5500 filings, non-discrimination testing.
Requirements:
- This position is a hybrid position and requires you to be onsite in Irvine, California two days a week. Must be within a commutable distance to our Irvine office.
- Strong analytical and system skills required.
- Intermediate to advanced Excel skills required (pivot tables, VLOOKUP’s, formulas).
- Thorough knowledge of domestic compliance requirements in such related areas as ACA, HIPPA, COBRA, FMLA, ADA, ERISA and Section 125 benefit related State and Federal laws.
- PHR/SPHR, CEBS preferred.
- Experience with Workday preferred.
- Minimum two (2) + years’ experience administering benefit plans and multi-state LOAs.
- High School degree required and a minimum of six (6) + years’ experience working in a similar field.

Base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay for this role is between $76,000 to $90,000. Your base pay will depend on multiple individualized factors, including your job-related knowledge/skills, qualifications, experience, and market location.
