Main Purpose of the Role:
The College Coordinator provides administrative and operational support to the College Counseling Department, assisting the Director of College Counseling with a range of responsibilities to ensure smooth and effective college counseling services for students and families. This role involves both student facing and back end support work; blending administrative duties, communications, social media management, data collection, and organization of family resources. The College Coordinator will also maintain a caseload of students, collaborating with the Director of College Counseling to support college application processes and programs and provide guidance to students and their families. This position works closely as a team member in the College Counseling Department, along with School Counselors, grade level leaders, faculty, and the other members of the Upper School administration.
Key Responsibilities:

  • Student Caseload: Maintain a caseload of students under the supervision of the Director of College Counseling, providing guidance and support throughout the college application process, including research on colleges, essay review, application timelines, and other related tasks.
  • Administrative Support: Assist the Director of College Counseling with organizing and facilitating college-related events, coordination of test prep and college related events, scheduling, correspondence, and other administrative tasks to ensure efficient department operations. Update and maintain the college office shared database of documents and email account.
  • Communications & Social Media: Manage communications with students, families, and staff, including newsletters, emails, and informational updates. Oversee the college counseling department’s shared email address and social media presence, ensuring up-to-date and accurate content is shared with the school community.
  • Family Resources & Support: Provide resources to families, and streamline opportunities for students to actively engage with career exploration, extracurricular activities, internships, scholarships, and summer enrichment programs.
  • Data Collection & Reporting: Help collect and maintain data and documents related to student applications, transcripts and transfer records, standardized testing, and other relevant metrics. Generate reports for internal use and to track student progress.
  • Confidentiality & Ethics: Maintain confidentiality of student information and adhere to ethical guidelines in all interactions with students, families, and staff
  • Duties: Completes a minimum of two duties as assigned by Division Head (number of duties may vary depending on role) 
  • School Participation: Attends and participates in all required faculty and staff meetings and participates in school-wide events; attends during and after-school functions in support of school community  
  • Role Model: Presents a positive role model for students that supports the mission of the school; demonstrates behavior that is professional and ethical as identified in Employee Handbook (inside and outside of school)

 

Qualifications
  • Bachelor’s degree required; experience in college counseling, higher education, or student services preferred.
  • Strong organizational, communication, and interpersonal skills.
  • Experience with social media management and content creation.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Detail-oriented with strong data management skills.
  • Ability to work well independently and also collaboratively as part of a small team 
  • Knowledge of the college admissions process and college counseling best practices is a plus.
  • Knowledge of the IB program and experience in college admissions (US and/or international) is a plus.
