SUMMARY:
The ideal candidate is highly self-motivated, professional and capable of managing their work load and prioritizing tasks. This person acts with the highest level of discretion and confidentiality when handling sensitive executive, board, family matters, and business information.
Provides high-level executive and administrative support to the Chief Executive Officer and the LeBaron Family. Serves as a trusted partner who helps create organization, alignment, and follow-through across executive, business, community, philanthropic, and family commitments. Anticipates needs, thinks ahead, identifies opportunities to improve effectiveness, and proactively recommends solutions that support the CEO and family while exercising sound judgment when handling confidential and sensitive information.
Utilizes technology and tools to support organization, communication, and efficiency. Flexibility is required to support meetings, travel, company functions, community engagements, and special events, including activities that occur outside normal business hours, such as evenings and weekends.

This position primarily supports the Chief Executive Officer and the LeBaron Family. The role may also provide support to the President and executive leadership. Priorities and areas of focus may shift based on business, family, travel, event, and scheduling requirements.
Executive & Calendar Support
Proactively manages calendars, appointments, meetings, correspondence, and day-to-day priorities for the Chief Executive Officer and the LeBaron Family. Anticipates needs, resolves conflicts, and helps ensure leaders are prepared for upcoming commitments and responsibilities.
Travel & Logistics Coordination
Coordinates domestic and international travel, transportation, lodging, itineraries, and related logistics. Works closely with internal and external partners to ensure travel and scheduling needs are executed effectively.
Meeting & Relationship Coordination
Serves as a primary liaison between the CEO, LeBaron Family, executive leadership, Lincoln Industries people, customers, suppliers, community partners, board members, and other key contacts. Facilitates communication, coordination, and follow-through.
Events & Hospitality
Plans and coordinates executive, business, community, philanthropic, and family-related events. Coordinates invitations, guest communications, vendors, catering, accommodations, transportation, and event logistics, including on-site support as needed.
Special Projects
Manages and supports special projects on behalf of the CEO and LeBaron Family. Coordinates activities, gathers information, conducts research, and helps ensure priorities and commitments move forward effectively.
Correspondence & Communications
Prepares and coordinates emails, letters, itineraries, agendas, presentations, meeting materials, and other communications. Ensures communications reflect the appropriate level of professionalism, accuracy, and attention to detail.
Information & Productivity Management
Maintains organized records, calendars, contact information, travel documentation, project materials, and confidential files. Utilizes Microsoft 365, Microsoft Copilot, and other approved productivity tools to improve organization, communication, and efficiency.
Team Coordination & Support
Works closely with administrative team members and others across the organization to coordinate responsibilities, establish priorities, provide support, and ensure continuity of service.
Judgment & Confidentiality
Handles sensitive business, financial, personnel, family, and personal information with sound judgment, professionalism, and appropriate confidentiality.

QUALIFICATIONS: The requirements listed below are representative of the knowledge, skill and/or ability required. Equivalent combinations of education and experience may be substituted for the expected levels of education and experience required.
Education and/or Experience:
Preferred: Bachelor’s degree or equivalent and seven or more years related experience, including direct support of a C-suite executive and/or training; or equivalent combination of education and experience.[C2]
Expected: Associate’s degree (A.A.) or equivalent from two-year college or technical school; five or more years related experience and/or training; or equivalent combination of education and experience.
Communication Skills:
- Polished written and verbal communication skills appropriate for interaction with executives, board members, customers, family members, and community leaders.
Other Skills:
- Advanced proficiency with Microsoft 365 applications.
- Advanced calendar management and executive scheduling capabilities.
- Experience coordinating complex travel and event logistics.
- Strong organizational and project coordination skills.
- Demonstrated ability to manage multiple priorities with limited supervision.
- Ability to effectively utilize AI tools such as Microsoft Copilot and emerging productivity technologies.
- Exceptional attention to detail and follow-through.
- Ability to exercise discretion and judgment with highly confidential information.
- Ability to anticipate needs and proactively solve problems.
- Professional presence and executive-level interpersonal skills.
- Valid driver's license and ability to travel if required.
