JOB SUMMARY: The Clinical & Grant Program Coordinator is responsible for coordinating, monitoring, and supporting the successful implementation of grant-funded programs and services at the LIFT RENEW Center. The position ensures that grant and contract requirements, program activities, budgets, timelines, documentation, and reporting requirements are completed accurately and on schedule. The Coordinator will provide operational support for grant awards, contracts, and other funding received. The Coordinator works closely with counselors, clinical staff, program personnel, finance staff, and leadership to ensure services are delivered as required, grant funds are appropriately utilized, and all required documentation is maintained. The Coordinator will assist in establishing and managing systems for behavioral health billing, coding, documentation review, reimbursement tracking, and compliance monitoring to support current and future clinical services.

DUTIES AND RESPONSIBILITIES:

  • Coordinate and monitor grant-funded programs and contractual deliverables, ensuring activities, timelines, budgets, work plans, and reporting requirements are completed accurately and on schedule.
  • Track grant and program performance, including outcomes, service delivery, participant engagement, staff time, expenditures, supplies, deadlines, and required documentation; maintain accurate and organized records and identify delays, gaps, or underspending requiring attention.
  • Collaborate with counselors, clinical and program staff, schools, community partners, finance personnel, and leadership to coordinate grant activities, establish timelines, resolve barriers, and ensure services are delivered in accordance with approved grant requirements and work plans.
  • Assist with grant administration and reporting, including preparation of reports, invoices, supporting documentation, purchasing, scheduling, monitoring materials, and documentation required by funders, contracting agencies, audits, site visits, and accreditation activities.
  • Assist the Clinical Director with clinical administrative functions, including credentialing, documentation reviews, quality assurance activities, and other processes supporting clinical services.
  • Assist with the development, implementation, and monitoring of behavioral health billing processes, supporting accurate, timely, compliant, and sustainable reimbursement for services.
  • Coordinate and monitor billing activities, including review of clinical documentation for completeness and billing compliance; tracking authorizations, payer requirements, credentialing, coding updates, claim denials, reimbursement trends, and billing performance; and assisting with resolution of billing and documentation issues in collaboration with finance staff, clinical personnel, and billing vendors.
  • Assist with medical billing and/or coding and maintain data quality, including accurate and timely entry of information into electronic health records, billing systems, grant databases, and other applicable systems.
  • Assist with implementation and optimization of EHR, billing, grant tracking, and data systems and develop or maintain tools for tracking outcomes, revenue, reimbursement, claim denials, program performance, and other key measures.
  • Support compliance and continuous improvement by monitoring applicable grant, payer, regulatory, and organizational requirements; identifying areas for improvement; and assisting staff in implementing effective processes and procedures.
  • Perform other duties as assigned to support the successful operation of LIFT RENEW Center clinical services and grant-funded programs.

 SUPERVISORY RELATIONSHIP: The Clinical and Grant Program Coordinator works under the supervision of the LIFT RENEW Center Program Director. This position has no supervisory responsibilities.

 QUALIFICATIONS:

  • Associate degree or equivalent combination of education and relevant experience; bachelor's degree preferred.
  • Experience in healthcare, behavioral health, social services, grant administration, program coordination, or a related field is preferred.
  • Strong organizational, time-management, problem-solving and follow-through skills.
  • Strong attention to detail and ability to manage multiple projects, deadlines, and priorities.
  • Proficiency with Microsoft Office, spreadsheets, email, and electronic record systems.
  • Ability to communicate effectively and work collaboratively with clinical, administrative, financial, and community-based staff. 
  • Experience with medical billing and/or medical coding, including familiarity with healthcare billing processes, coding systems, documentation requirements, and/or electronic health records preferred. 
  • Familiarity with substance use disorder services, opioid abatement initiatives, harm reduction, school-based services, family support programs, or rural healthcare.
  • Ability to maintain confidentiality and handle sensitive information appropriately.

      • Visual and Auditory Requirements: Visual and Auditory Requirements: Ability to access, review, interpret, and respond to information presented in electronic, printed, and verbal formats as necessary to perform the essential functions of the position. Must be able to effectively receive and communicate information in individual and group settings.
      • Lifting and Carrying: Occasionally required to lift, move, or carry supplies, files, equipment, or other items weighing up to 30 pounds.
      • Cognitive and Organizational Requirements: Ability to maintain attention to detail, manage multiple priorities and deadlines, analyze and track information, maintain accurate records, solve routine problems, and follow established procedures. Must be able to work independently while also collaborating effectively with clinical, administrative, financial, and program staff.
      • Work Environment: Work is primarily performed in an office and clinical/program setting. The position may occasionally require travel within the facility or to locations associated with grant-funded activities, meetings, trainings, schools, or community programs
