Purpose of the role

To provide an effective and efficient finance support to the US finance team, delivering a high level of service and advice consistent with company and legal requirements.

Key responsibilities and tasks

Treasury and cash management

  • Deposits customer checks on a daily basis
  • Assists with posting incoming and outgoing cash onto SAP
  • Assists with preparation monthly bank reconciliation for the US operating checking account

Accounts Receivable

  • Maintains retainer and project billing schedules
  • Assists with drafting retainer and project invoices, obtaining approval of drafts, and sending out invoices to customers, with the help of Accounting Assistant
  • Assists with routine debt chasing
  • First point of contact for AR inquiries

Accounts Payable

  • Review and post supplier invoices in SAP
  • Review and post monthly credit card statements in SAP and ensure transactions have proper documentation of receipts
  • Assists with reconciliation/audit of US staff expenses
  • Assists with management of US purchase order process
  • Drafts weekly payment runs for review
  • Assists with quarterly reconciliation for client paid media spending
  • Acts as point of contact for accounts payable inquiries
  • Maintains vendors in SAP, including obtaining W-9’s, vendor bank information, and annual 1099 compliance

Management Accounts

  • Prepares monthly purchase analysis
  • Prepares monthly accruals for major expected costs
  • Prepares monthly splits for office costs
  • Prepares the costs accrual for the corporate Amex cards
  • Assists with monthly commentary for US operating costs
  • Assists with monthly sales analysis and ticking of revenues for the US market

Other responsibilities

  • Assists in the year-end audit process
  • Ensures physical and digital archiving system is up to date
  • Compiles ad-hoc reports and/or analysis as and when required
  • Supports line manager on initiatives and projects e.g. SAP maintenance, employee expenses, billing controls

General

  • Is a cultural ambassador for the region: promoting initiatives, using Yammer and all social media channels to showcase our finance activity and upcoming projects, etc.
  • Contributes to and supports the continuous improvement of finance systems, practices and policies
  • Ad hoc duties as required

About you

  • Bachelor’s degree in Accountancy (or Finance or Business with significant accounting coursework
  • At least one year of accounting experience (preferably within a small/medium sized services business or a public accounting firm)
  • Collaborative self-starter with initiative, who is goal driven
  • Creative thinking “outside the box” to provide solutions and solve problems
  • Proven record of managing projects through to completion
  • Good English written and oral communication skills are essential
  • Excellent presentation, written and verbal communication skills
  • Strong attention to detail
  • IT literate with a good working knowledge of Microsoft Excel
  • Well organized; ability to prioritize; attention to detail; a pragmatic approach
  • Energetic, confident, charismatic - a credible team player
