ABOUT THE ROLE
As our Senior Workplace Experience Coordinator, you will be an essential part of a dynamic and dedicated Workplace Experience Team committed to delivering an exceptional day-to-day experience for all employees, visitors, and guests. This will be a full time role in the office, Monday to Friday, to support our colleague's experience. Acting as the Ambassador for the office and the first point of contact at our Stockholm HQ, you’ll play a vital role in ensuring the workplace runs smoothly, safely, and meets the demands of providing the ideal environment for both current and upcoming employees.
In this role, you will handle a variety of responsibilities that have a direct impact on the overall workplace experience - from managing reception duties and coordinating meeting spaces to supporting internal events and collaborating with departments such as HR, the Global Workplace Experience Team, Employer Branding and IT. You’ll have the chance to contribute to exciting office-wide initiatives and process improvements, ensuring smooth operations and enhancing employee satisfaction. You will be a creative problem solver who maintains clear and friendly communication with staff and vendors, ensuring timely responses and high-quality follow-ups.

YOU WILL BE RESPONSIBLE FOR:
- Serving as the primary Ambassador for employees, visitors, and vendors with a warm, professional, and approachable manner.
- Managing incoming calls, emails, and deliveries efficiently and with attention to detail.
- Managing business travel arrangements for LeoVegas Group employees and company guests, ensuring seamless coordination and high standards.
- Leading the relocation process for new starters, ensuring a welcoming and structured onboarding experience.
- Ensuring office facilities are maintained to the expected standard by anticipating needs and taking initiative in resolving logistical challenges.
- Managing incoming communications and deliveries efficiently, ensuring clear follow-up with all stakeholders.
- Coordinating meeting room bookings and ensuring all spaces are well-prepared and presentable at all times.
- Overseeing stock levels for groceries and office supplies, managing orders and related expenses with attention to detail.
- Supporting office operations and internal events, displaying a positive attitude toward change and quick problem-solving.
- Maintaining front desk procedures and security protocols for access and visitor management.
- Partnering with the Senior Workplace Experience Manager to implement workplace projects and engagement activities across our Swedish offices (Stockholm, Växjö, Västerås).
OUR SUCCESSFUL CANDIDATE WILL HAVE THE FOLLOWING:
Essential Skills:
- Previous experience in a front desk, office coordination, or high-level administrative support role.
- Exceptional communication skills with a service-oriented mindset and the ability to build strong relationships with vendors and staff.
- Proven ability to multitask and stay organized while managing tight deadlines in a fast-paced environment.
- A proactive and creative approach to problem-solving, with a focus on attention to detail.
- Proficiency with Microsoft Office / Google Workspace (Sheets, Docs, etc.).
- Knowledge of health & safety and workplace compliance standards to ensure a safe environment.
- Strong organizational and project management capabilities with a drive to improve existing processes.
Nice to Have:
- A growth mindset and an eagerness to take on more responsibilities as the organization evolves.
- Experience working in a tech or fast-growing international company.
- Background supporting hybrid workplace environments and multi-site organizations.
- Experience in event planning, internal engagement, or basic budget management.
- Familiarity with workplace analytics or employee feedback tools.
